Full Job Description Description:
The Central Scheduling Specialist for the ENT (Ear, Nose, and Throat) department is responsible for coordinating patient appointments, procedures, and diagnostic services across the practice. This role serves as the first point of contact for many patients and plays a vital role in ensuring a seamless scheduling experience while supporting provider efficiency and patient satisfaction. Key Responsibilities Schedule new and follow-up appointments for ENT providers, including office visits, procedures, and ancillary testing (e.g., audiology, sleep studies, imaging) Answer high-volume inbound calls in a professional, courteous, and patient-focused manner Verify and update patient demographics, insurance information, and referral requirements Coordinate scheduling across multiple providers, locations, and specialties to optimize access and reduce wait times Ensure appropriate appointment type and time allocation based on patient needs and provider protocols Provide patients with clear instructions regarding appointments, preparation requirements, and documentation Collaborate with clinical staff, providers, and referral coordinators to ensure continuity of care Identify urgent or emergent scheduling needs and escalate appropriately Maintain accuracy of provider schedules and assist with template management when needed Document all interactions and scheduling updates in the electronic medical record (EMR) system Adhere to HIPAA guidelines and company policies at all times
Requirements:
High school diploma or equivalent required; additional healthcare or administrative training preferred 1-2 years of medical scheduling, call center, or front office experience (ENT or specialty care preferred) Strong knowledge of medical terminology and insurance basics Experience with EMR and scheduling systems Excellent communication, customer service, and organizational skills Ability to manage a high-volume workload in a fast-paced environment Strong attention to detail and problem-solving abilities Preferred Skills Experience scheduling for ENT, audiology, or surgical specialties Familiarity with referral processes and prior authorizations Bilingual (Spanish or other language) is a plus Work Environment Fast-paced, team-oriented call center or administrative setting Frequent phone and computer use throughout the day Collaborative interaction with providers, clinical teams, and patients Why Join Precision Healthcare Specialists?
