Job Description

Digestive Medicine Associates, a busy Gastroenterology Medical Practice in Hialeah is currently seeking an Appointment Scheduler. Our phones are extremely busy, seeking an energetic personality who is FLUENT in English and Spanish. Responsibilities Include but are not limited to: Welcome patients and visitors by greeting patients and visitors in person or on the telephone; answering or referring inquiries. Answer the phone on or before the fourth ring. Look up with direct eye contact while addressing all patients. Act as a communication center by answering the phones and directing all phone messages to the appropriate individuals; paging individuals with messages requiring immediate attention; making sure all personnel get their calls/messages. Keep abandoned calls under 5% of calls received. Assist in receiving, distributing, and sending mail. Accept and sign for deliveries. Advise patients and visitors on proper practice procedures and policies, in order to ensure appropriate requirements are met. Review procedure instructions with patients to assure patient compliance with the correct preps. Listen responsively to patient concerns or complaints and provide or seek appropriate remedies. Refer patients to designated staff member when unable to resolve complaints. Responsible for contacting all patients that were no shows and or cancelled in order to reschedule the patient for their assigned provider. Contribute to team effort by maintaining an excellent rapport and working relationship between patient services, clinical services, billing, and other departments within the practice. Begin assignments without prompting, maintain productivity in both quantity and quality of work, appropriately plan, organize and prioritize work in order to maximize the resource utilization of the practice. Independently contribute ideas and process improvements, and look for creative solutions and better ways of doing things, in order to meet goals of continuous improvements.
Experience Required:
High School Diploma. Associate degree or Business School Diploma a plus. Ability to Multi-task in a high paced/high volume environment. Minimum 2 years as a medical office receptionist with patient scheduling, insurance verification and billing & collection experience. Proven ability to access, input, and retrieves information from a computer. Knowledge of Medical software program(s) required. High level of listening skills. Ability to communicate accurately and concisely. Aptitude to work independently and demonstrate good judgment Knowledge of office procedure and office machines (i.e. computer, fax, copier, etc.). Must be able to work weekends and some holidays.
