Our team is dedicated to providing exceptional patient care and customer service while maintaining an efficient and welcoming environment for our patients and referring providers. We are seeking a friendly, professional, and highly organized Front Office Coordinator / Medical Receptionist to join our team. This position serves as the first point of contact for patients and plays a critical role in creating a positive patient experience while ensuring smooth daily office operations. Position Summary The Front Office Coordinator is responsible for greeting patients, managing check-in and check-out processes, scheduling appointments, answering phones, and providing exceptional customer service. The ideal candidate is comfortable multitasking in a fast-paced environment, balancing the needs of patients at the front desk while managing incoming calls and administrative responsibilities. Essential Duties and Responsibilities Patient Reception & Customer Service Greet patients, visitors, and vendors in a professional and welcoming manner. Provide exceptional customer service and create a positive patient experience. Assist patients with check-in and check-out processes. Verify demographic, insurance, and contact information. Collect copays, balances, and required paperwork. Scheduling & Appointment Management Schedule new patient, follow-up, ultrasound, and provider appointments. Coordinate appointment scheduling to maximize provider efficiency and patient access. Reschedule appointments as needed and communicate changes to patients. Review provider schedules and assist with schedule optimization. Ensure appropriate appointment types and time slots are selected. Telephone & Communication Management Answer incoming calls promptly and professionally. Direct calls to the appropriate department or team member. Assist patients with appointment requests, general questions, and referral inquiries. Return voicemails and follow up on patient inquiries as assigned. Communicate effectively with referring physician offices and healthcare facilities. Administrative Support Scan and upload documents into the electronic medical record (EMR). Review incoming referrals and ensure required information is obtained. Maintain accurate patient records. Assist with medical records requests and administrative projects as assigned. Support office workflows and team initiatives to improve patient service. Team Collaboration Work closely with providers, medical assistants, authorization staff, surgery schedulers, and billing personnel. Assist coworkers during high-volume periods. Contribute to a positive, team-oriented work environment. Qualifications Required High school diploma or equivalent. Minimum 1 year of customer service, receptionist, medical office, or front desk experience. Strong communication and interpersonal skills. Ability to multitask and remain organized in a fast-paced environment. Proficiency with computers and standard office software. Professional appearance and demeanor. Preferred Medical office experience. Experience with scheduling appointments in a specialty practice. Experience verifying insurance and collecting patient payments. Experience with Greenway Prime Suite or similar electronic medical records systems. Knowledge of medical terminology.
