Lead Medical Front Desk Coordinator Location:
Stuart, Florida Schedule:
Monday-Friday | 9:00 AM - 5:00 PM About the Role We are seeking an experienced, dependable, and highly organized Lead Medical Front Desk Coordinator for a growing specialty medical practice. This is a high-responsibility, all-in-one role combining front desk operations, patient scheduling, intake, insurance support, chart management, and provider workflow coordination. In this office, it will primarily be you and the provider on-site, so we are looking for someone who can work independently, stay organized, and help keep the practice running smoothly day-to-day. This is an ideal role for someone who takes ownership, solves problems, and wants to be a key part of building and growing a strong medical practice. We are looking for a long-term fit; someone dependable who wants stability and growth. Responsibilities Answer and manage incoming patient phone calls professionally and efficiently Schedule office visits, follow-ups, and outpatient procedures Manage patient check-in and check-out Verify insurance eligibility and update patient demographics Collect co-pays and patient balances Prepare, scan, and organize patient charts and medical records Conduct patient intake, including medication review and chart updates Process referrals, insurance authorizations, and patient recalls Support provider workflow by transmitting encounters and managing documentation Perform end-of-day balancing and administrative close-out Maintain accurate patient records within the EMR Help manage office flow and keep day-to-day operations running efficiently Step in wherever needed to support the practice
Required Qualifications:
Previous medical front desk or medical office experience Strong multitasking and organizational skills Strong phone and patient communication skills Comfortable working across multiple systems and EMRs High attention to detail and accuracy Professional, dependable, and proactive Ability to work independently and take ownership of responsibilities
Strongly Preferred:
Experience scheduling medical procedures Insurance verification and authorization experience Specialty practice experience Experience with eClinicalWorks or Epic Systems Who Will Do Well Here Someone who is highly organized and can manage multiple priorities at once Someone who takes initiative and does not need constant oversight A strong problem-solver who can keep the office moving Someone comfortable being the primary front office support alongside the provider A team player who is reliable, consistent, and accountable Someone looking for a long-term opportunity and stability Compensation Higher compensation available for candidates with strong specialty scheduling, insurance authorization, and EMR experience.
