About Us Physicians Wound Treatment of Tampa is a start-up medical private practice specializing in the outpatient treatment of mostly chronic and complex wounds, and occasionally acute wounds: diabetic ulcers, pressure ulcers/bedsores, venous and arterial wounds, lymphatic, traumatic, and post-surgical wounds, as well as atypical presentations. Led by Dr. Sanjiv Rao CWSP, a board-certified wound physician by the American Board of Wound Management (ABWM), we aim to use proven primary therapies with more advanced treatments including electrical stimulation, tissue-engineered skin substitutes, ultrasound, platelet derived growth factor, and light therapy to achieve complete wound closure as quickly and pain free as possible. Our patients may come to us frustrated at times, often after months or years of wounds that have not healed. Job Summary We are hiring a Medical Secretary to be the welcoming, organized first point of contact for our patients and referring providers. This role keeps the clinic running smoothly — from answering the telephone, to scheduling appointments, responding to emails, verifying insurances, obtaining insurance preauthorizations, and coordinating with home health agencies and referring physicians. Responsibilities and Duties Greet patients warmly at check-in and check-out Process and scan intake paperwork and health insurance cards Answer incoming calls, route messages, and respond to patient inquiries Schedule and confirm appointments and follow-ups; manage the physician's daily schedule Verify insurance eligibility and benefits prior to visits Obtain prior authorizations and pre-certifications as needed Collect copays and post payments accurately Process new patient registration and update demographic information in the EMR Coordinate referrals with primary care providers, specialists, and home health agencies Request, scan, and organize medical records, imaging, and consult notes Manage faxes, mail, and electronic correspondence Assist with prepping charts before patient visits Maintain a clean, organized, and welcoming front office Support the clinical team with administrative tasks as needed Qualifications High school diploma or GED required; medical office certificate or associate's degree a plus Prior medical office experience, especially in specialty clinics, strongly preferred Bilingual (English and Spanish) is strongly preferred Familiarity with medical terminology, especially related to wound care, diabetes, or vascular conditions Experience with insurance verification, pre-authorizations, and Medicare billing rules Proficiency with Google Workspace and EMR/practice management software Excellent communication skills and dedicated work ethic HIPAA-compliant handling of sensitive information Strong organizational skills and the ability to handle multiple tasks calmly and in order of importance Schedule Monday-Friday, 8 AM to 5 PM.
