Job Description

Job Summary We are seeking a dynamic and detail-oriented Appointment Scheduler to join our MRI Imaging Specialist team! In this vital role, you will coordinate patient appointments efficiently, manage scheduling systems, and ensure seamless communication between patients and medical staff. Your proactive approach will help optimize clinic operations, enhance patient experience, and support overall practice success. Duties Schedule patient appointments accurately. Verify procedures to facilitate smooth patient visits. Manage appointment changes, cancellations, and follow-up scheduling to maximize clinic efficiency. Answer multi-line phone systems with professionalism, providing exceptional patient service and clear communication. Review medical documentation, care plans, and medical records for completeness and accuracy prior to appointments. Assist with intake procedures, including collecting patient information and updating electronic records while maintaining HIPAA compliance. Support front desk operations by managing patient check-in/out processes, filing medical records, and maintaining organized office files. Utilize computer skills to update scheduling calendars, send appointment reminders, and document interactions accurately. Experience Prior experience in medical scheduling or administrative support within a healthcare setting is highly preferred. Knowledge of medical billing procedures including, CPT coding, ICD-10 coding, and documentation review is a plus. Excellent phone etiquette combined with bilingual abilities (English/Spanish or other languages) enhances communication with diverse patient populations. Demonstrated ability to handle multiple tasks efficiently in a busy clinic environment while maintaining attention to detail. Office experience in a healthcare setting involving front desk duties, clerical support, or medical office management is highly desirable. Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills (10 key typing) ensures accurate data entry and record keeping.
