Job Summary:
The Medical Office Receptionist is responsible for creating a welcoming environment for patients and visitors, managing front-office operations, and providing administrative support to medical staff. They ensure efficient patient flow, manage patient data, and support the smooth operation of the medical practice.
Key Responsibilities:
Greeting and Assisting Patients:
Welcome patients upon arrival, verify personal and insurance details, and direct them to appropriate areas within the office.
Scheduling Appointments:
Schedule, reschedule, and confirm patient appointments. Ensure that the schedule is organized and balanced to avoid overbooking.
Handling Patient Records:
Manage patient registration and ensure all patient information is accurately entered into the electronic health record (EHR) or paper system. Ensure patient privacy and confidentiality are maintained according to HIPAA regulations.
Answering Phones and Emails:
Answer and direct incoming phone calls in a professional manner. Respond to patient inquiries, provide general medical office information, and communicate messages to the appropriate staff.
Billing and Payments:
Collect co-pays and other payments from patients. Maintain accurate records of payments and work with the billing department to address any issues with patient accounts.
Managing Office Supplies:
Ensure that office supplies are adequately stocked and reorder supplies as necessary.
Data Entry and Filing:
Enter patient information into electronic systems and maintain filing systems for medical records and patient information.
Patient Education:
Provide patients with general information about office policies, procedures, and instructions for follow-up care as directed by the healthcare providers. Coordination with

Communicate with medical providers about patient schedules, appointments, or any specific needs for patient care.
Skills and qualifications:
Strong communication and interpersonal skills. Organizational skills and the ability to multitask effectively. Proficient in using computers, including medical software and EHR systems. Basic knowledge of medical terminology and insurance procedures. Ability to maintain confidentiality and comply with HIPAA regulations. 1-2 years prior experience required. Bilingual preferred
