Full-Time Job Overview As a Medical Receptionist, you will be the first point of contact for our patients, providing excellent customer service and ensuring the office runs efficiently. You will manage a variety of administrative duties, including answering phone calls, scheduling appointments, processing patient information, and assisting with general office tasks. This position requires strong communication skills, attention to detail, and a genuine desire to help people.Reports to:
Office Manager Key Responsibilities - Greet patients and visitors in a friendly and professional manner, ensuring a welcoming atmosphere. Answer phone calls within a timely manner, respond to email and voicemail inquiries, and direct calls to appropriate personnel. Process patient check-ins and check-outs, including collecting co-pays and fees. Collect and verify patient information, including insurance details, identification and medical history patient forms during check-in process. Review and answer email inbox inquiries, voicemails, and assigned telephone encounters. Assigning and reviewing telephone encounters to appropriate staff member(s) in a timely manner. Manage and maintain electronic health record (EHR) schedule to ensure maximizing provider's time, move appointments accordingly to avoid long periods of gaps. Consistently monitor the lobby area and maintain proactive communication with patients in the event that providers are running behind schedule. Ensure that all waiting patients receive assistance and are informed about their wait times. Process and complete necessary documents (i.e FMLA) for patients within a timely manner or by date requested. Schedule and confirm patient appointments, ensuring accuracy and efficiency. Prepare patient charts in advance, ensuring all paperwork is reviewed and scanned in. Adding notes to appointments of additional forms needed at the time of appointment. Maintain and update patient records in the electronic health record (EHR) system. Assist with faxing, scanning, and other administrative tasks as needed. Coordinate and process referrals and scheduling additional appointments as needed. Prepare and manage patient forms, consents, and other required documentation. Collaborate with physicians, medical assistants, and other staff to ensure smooth patient flow and efficient office operations. Ensure a clean, organized, and professional office environment. Maintain confidentiality and comply with HIPAA regulations regarding patient information.Qualifications:
High school diploma or equivalent (associate's degree and/or higher education or certification in medical office administration is a plus). Previous experience as a medical receptionist or in a healthcare setting preferred. Strong organizational skills with the ability to multitask and prioritize effectively. Excellent communication skills, both written and verbal. Knowledge of medical terminology, orthopedic procedures, and insurance processes is a plus. Proficient in using office equipment (phones, fax machines, etc.) and electronic health record (EHR) systems. Ability to remain calm and professional in a fast-paced environment. A team player with a positive attitude and a focus on patient care.Physical Requirements:
Ability to sit and stand for extended periods. Occasional lifting of office supplies or files (up to 50 lbs). Ability to work at a computer for extended periods.
