Position Summary:
Under the general direction of the Director of Vocational Training the Receptionist/Intake Assistance will provide direct services to our potential customers, visitors, and guests. Receptionist:
Greets all visitors and directs them to the appropriate person or department. Respond to phone/email messages, assist with phone calls, and schedule leads to attend orientations. Ensures that all Leads' information is correctly entered into Salesforce, including phone, email, DOB, referral, and program of interest including but not limited to WW, SR, and CPU. Update the Leads status, Express Interest, Follow up, No longer interested, Scheduled, Attended Orientation, Returning client. Update the Leads Type with the program of interest: WW, SR, CP, CARES, WTA, WEST.
Update the call log, add new tasks if needed, and add a new event (orientation, interview, testing, other) Systematically follows up and implements procedures to track referrals and ensure that clients will not get lost in the referral process Track and manage outbound and inbound referrals for each program and service for clients in Salesforce Intake Assistance:
Set up the classroom for orientation the night before, and guide clients through the intake process, ensuring a smooth and supportive experience. Update Salesforce with the client's information based on their completed application during intake. Salesforce open services (Orientation, Basic Skills, Interview, etc) and assessment barriers if any have been identified during intake such as but not limited to Returning citizens, Homeless, Unemployed or underemployed, and add an Intake Casenote Maintain applicant records, and scan all information including but not limited to application, SR & WW Assessment, Locator, appraisal, and documentation are scanned into Google Drive and the folder is kept under lock at the end of the business day. After the Director or assigned staff reviews the files and indicates the next step which can be either an interview or testing. The Intake Assistant will call the client to confirm the interview date and time and testing. Update Salesforce on the day of the interview or testing. If the applicant was not accepted into the program, the Intake Assistant will update Salesforce with the correct status, date, exit type, and reason and update the last case note with a detailed explanation of why the applicant was not accepted into the program. If the applicant has been accepted the file will be given to the Case Manager for any updated eligibility documentation. Other duties are assigned based on the needs of the agency. To Apply:
