Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Duties and responsibilities include greeting patients at check in and check out, answering phones, scheduling appointments, collecting payments, verifying insurance and eligibility, preparing treatment plans, following up on outstanding insurance claims and private accounts, and providing general administrative support. Previous experience with Dentrix is preferred. A successful Office Administrator should be able to accurately and efficiently handle administrative duties. Ultimately, you should help ensure the smooth running of the office and help to improve company procedures and day-to-day operation. Patient Management
  • Oversee patient relations
  • Receive patient complaints and respond as directed by the dentist
  • Explain office policy to patients
  • Review patient health and dental history forms and update as necessary
  • Communicate with patients in an understandable and professional way
  • Check on patient comfort during treatment and help allay patient anxiety
  • Perform other tasks assigned by the dentist Records Management
  • Securely store and handle patient records in compliance with office policies and procedures and applicable legal requirements, such as HIPAA regulations
  • Accurately record medical and dental histories
  • Accurately file patient information
  • Arrange patient charts
  • Assist in the administration of the recall system Accounts Management
  • Verify insurance coverage and benefits
  • Prepare treatment plans
  • Follow up on outstanding insurance claims
  • Assist with collection calls
  • Support staff as needed (i.
e., appointment scheduling, answering phones, etc.)
PERSONNEL REQUIREMENTS
Educational/Experience
  • Highschool diploma or equivalent
  • Knowledge of office administrator responsibilities, systems, and procedures. Interpersonal
  • Good interpersonal skills to maintain effective rapport with patients, dentists and coworkers
  • Excellent communication and verbal skills to communicate with patients and staff
  • Team player mentality
  • Conflict resolution experience
  • Customer service or patient relations experience
  • Able to communicate all concerns to the dentist Skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
