The primary function of the Hospitality and Reception Administrator is to provide basic hospitality and reception services for meetings and client interactions including but not limited to greeting clients, attorneys and other office guests, planning office events, maintaining conference rooms and conference room schedule, conference room set-up and clean up, scheduling visiting attorney offices, ordering food, and ensuring all meeting needs are met. The Hospitality and Reception Administrator also serves as the office's receptionist and is responsible for all front desk activity for the office. This includes opening and closing the front desk pursuant to designated office hours between 8:00 a.m. and 5:00 p.m. Monday through Friday. This is an in-office position; it is not a remote position.
Essential Duties and Responsibilities:
"Essential functions" are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer. Open and close reception area pursuant to designated office hours (8:00 a.m. until 5:00 p.m. Monday through Friday). Answer multiple phone lines. Greet clients, attorneys and other office guests in a professional, friendly, hospitable manner. Communicate directly with internal and external clients. Maintain conference room schedule and all meeting requests for internal and external client meetings including set-ups, ordering food and equipment/supply needs. Maintain schedule for visiting attorney offices and ensure offices have appropriate equipment/supplies. Assist with office facility upkeep, including maintaining conference rooms, kitchens and breakroom. Monitor supply usage for office, including kitchens and conference room supplies and place supply orders when necessary. Maintain vendor relations, including catering and beverage services. Communicate with building management regarding office and maintenance issues and assist with resolutions. Provide back-up to Legal assistants with: time entry, new matter opening, expense reimbursements in Chrome River, assisting with paper and electronic filing, pre-bills, general document preparation and changes. Assist with invoice processing; code and track invoices for payment. Validate parking as requested. Coordinate internal office moves. Assist with the planning and coordination of extra-curricular activities and events for the firm including the firm holiday party and other events.
Handle miscellaneous requests including:
notarization of documents (if certified), log and track deliveries, make copies, scan and fax documents, print documents and provide directions, as needed. Other tasks and responsibilities as requested.
Qualifications:
Associates or Bachelors degree; preferably one year related job experience. Extremely professional demeanor. Strong oral communications skills. Proficient with Microsoft Office products; experience using various types of software packages. Ability to work independently as well as part of a team. Ability to handle multiple tasks at once and meet deadlines. Should be customer service driven. Maintain high level of confidentiality. Ability to lift 25lbs.
Working Conditions:
Normal law office environment with little exposure to excessive noise, dust, temperature and the like. Requires some lifting, pushing and pulling. Responsibilities sometimes require working evenings and weekends, sometimes with little advanced notice.
