Full Job Description Surgical Coordinator Michigan Location:
Fraser, Warren, Rochester Hills, Royal Oak, Warren, W. Bloomfield Position Summary The Surgical Boarding Coordinator at our Ambulatory Surgery Center plays a crucial role in managing the scheduling and preparation for ophthalmic surgeries. This position is responsible for coordinating surgery appointments, maintaining open communication with patients to provide pre-operative instructions, and collaborating with healthcare providers to confirm all necessary details and resources are in place. Additionally, the Coordinator maintains accurate records in the EHR system, follows up with patients' post-surgery, and addresses scheduling conflicts or concerns. This role requires strong organizational skills, attention to detail, and the ability to communicate clearly and compassionately with patients and staff, ensuring a smooth surgical experience from start to finish.
Responsibilities Appointment Scheduling:
Schedule surgical procedures based on physician orders, availability, patient needs, and operating room availability.
Patient Communication:
Communicate with patients to provide information about their surgeries, pre-operative instructions, and any necessary preparations. Coordination with
Healthcare Providers:
Collaborate with surgeons, nurses, anesthesia and other staff to confirm surgery details and ensure that all necessary resources are available.
Insurance Verification:
Collaborate with the insurance and billing department to verify patients' insurance coverage and pre-authorization requirements, ensuring all necessary documentation is completed.
Updating Records:
Maintain accurate and up-to-date patient records and schedules in the electronic health record (EHR) system.
Follow-Up:
Contact patients post-surgery to check on recovery and remind them of follow-up appointments.
Problem Solving:
Address scheduling conflicts or issues that may arise, finding solutions to ensure efficient operations.
Pre-Operative Documentation:
Collect and organize all pre-operative paperwork and consent forms, ensuring they are completed before surgery.
Patient Advocacy:
Act as a liaison between patients and medical staff, addressing any concerns or questions related to scheduling or procedures.
Administrative Support:
Assist with general administrative tasks, such as answering phone calls, filing documents, and managing correspondence related to scheduling.
Requirements:
High school diploma or GED; an associate's degree in healthcare administration or a related field is often preferred. Previous experience in a medical office, healthcare setting, or surgical scheduling is highly desirable. Familiarity with outpatient surgical procedures and workflows is a plus. Understanding of surgical terminology and procedures to effectively communicate with medical staff and patients. Strong computer skills, including familiarity with Microsoft Office Suite and Salesforce. Proficiency in electronic health records (EHR) and scheduling software. Excellent verbal and written communication skills to interact with patients, surgeons, and staff effectively. Strong organizational skills to manage multiple schedules, prioritize tasks, and maintain accurate records. Ability to pay attention to detail to ensure accuracy in scheduling and documentation. Strong critical thinking and problem-solving abilities to handle scheduling conflicts and patient inquiries. A friendly and empathetic approach to patient interactions, ensuring a positive experience.
