This position is the first point of contact for our patients and plays a critical role in delivering an exceptional patient experience while supporting the daily operations of a busy outpatient rehabilitation clinic. Position Summary The Front Desk Coordinator is responsible for managing patient scheduling, maintaining accurate records, collecting patient payments, coordinating communication between patients and providers, and ensuring the front office operates efficiently. This role serves as the face of the clinic and helps create a welcoming and professional environment for every patient. Key Responsibilities Patient Experience Welcome and check in patients with professionalism and enthusiasm. Answer incoming phone calls, text messages, emails, and patient inquiries. Schedule evaluations, follow-up appointments, and transportation when necessary. Maintain a positive and professional patient experience from initial contact through discharge. Address patient concerns and escalate issues appropriately. Scheduling & Front Office Operations Manage therapist schedules to maximize clinic productivity and patient access. Confirm appointments and send patient reminders. Monitor patient attendance and follow up on cancellations, no-shows, and missed appointments. Maintain accurate patient demographic and insurance information. Assist with patient intake paperwork and electronic documentation. Insurance & Financial Responsibilities Obtain and track authorizations when required. Collect co-pays, co-insurance, and deductible payments. Assist patients with payment questions and payment plan documentation. Ensure front office records are accurate and complete. Administrative Duties Scan, fax, email, and upload documents into electronic medical records. Monitor prescription and plan of care expiration dates. Maintain compliance with HIPAA and company policies. Order office supplies and maintain front office organization. Complete assigned reports and administrative tasks accurately and timely. Team Collaboration Communicate effectively with therapists, billing staff, management, and patients. Participate in staff meetings and training. Support clinic goals and company initiatives. Assist with marketing and patient retention efforts as needed. Qualifications Required Minimum 2 years of medical office experience. Strong customer service and communication skills. Excellent organizational and multitasking abilities. Ability to work independently and as part of a team. Experience using Microsoft Office (Word, Excel, Outlook). Ability to maintain confidentiality and professionalism. Preferred Physical Therapy, Chiropractic, Occupational Therapy, or other rehabilitation clinic experience. Experience with insurance verification and authorizations. Experience with electronic medical records (EMR) systems. Previous scheduling or healthcare front desk experience.
