Job Description

Overview We are seeking a dedicated and detail-oriented Unit Clerk to join our healthcare team. The ideal candidate will possess strong administrative skills, a thorough understanding of medical office operations, and the ability to manage multiple tasks efficiently in a fast-paced clinical environment. As a vital member of the healthcare team, the Unit Clerk will facilitate smooth daily operations by providing exceptional clerical and patient support, ensuring accurate documentation, and maintaining effective communication across departments. Responsibilities Review patient admission binders and charts to ensure all required consents, forms, and documentation are completed accurately. Follow up with nursing staff to obtain missing signatures, consents, and required paperwork and ensure documentation is properly completed and filed. Maintain organized and up-to-date patient records in accordance with facility policies and confidentiality standards. Answer incoming phone calls, transfer calls appropriately, take messages, and provide general information to callers. Assist patients with routine non-clinical needs, including providing water, pens, paper, and other approved supplies. Respond promptly to patient requests and communicate concerns or needs to appropriate clinical staff when necessary. Monitor and replenish clerical and patient-use supplies in designated areas. Assist with patient admissions, discharges, and transfers by preparing and processing required documentation. Support nurses, social workers, and other healthcare staff with clerical and administrative tasks. Ensure compliance with hospital policies, HIPAA regulations, and patient confidentiality requirements. Maintain a professional, courteous, and supportive environment for patients, visitors, and staff. Complete additional administrative duties as assigned by department leadership Requirements Prior experience in a medical office environment or healthcare setting is strongly preferred; clinic or dental clinic experience is advantageous. Knowledge of medical terminology Strong organizational skills with the ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Excellent communication skills—both verbal and written—and professional phone etiquette are necessary for effective patient interactions. Office management experience along with proficiency in Microsoft Office Suite (Word, Excel) is required. Knowledge of HIPAA regulations ensures confidentiality and security of protected health information (PHI). Ability to perform basic typing (including 10-key typing), filing, and data entry tasks accurately under time constraints.
