Job Summary As a vital member of our team, this position plays a key role in delivering an exceptional patient experience by serving as the primary point of contact for patients and visitors. This position is responsible for coordinating patient intake, scheduling appointments, managing incoming communications, maintaining accurate patient records, and supporting the day-to-day operations of the practice. Success in this role requires strong communication skills, attention to detail, excellent organizational abilities, and a commitment to providing compassionate service to patients. This role operates Monday through Friday, with working hours generally falling between 8:00 AM-4:30 PM based on clinic needs. Essential Duties and Responsibilities Greet patients, families, and visitors in a professional, compassionate, and welcoming manner. Answer and manage incoming calls, directing inquiries appropriately. Schedule, confirm, reschedule, and cancel patient appointments. Complete patient registration and intake, ensuring demographic, insurance, and contact information is accurate and up to date. Maintain patient records and documentation within the electronic medical record (EMR) system. Collect co-payments, balances, and required patient forms in accordance with office policies. Assist patients with intake paperwork, consent forms, and other required documentation. Manage referrals and coordinate communication with referring providers and healthcare facilities. Monitor and respond to patient messages, voicemails, and outstanding tasks in a timely manner. Coordinate medical records requests and maintain accurate documentation. Support provider schedules and assist with patient flow throughout the clinic. Communicate effectively with physicians, nursing staff, and administrative team members. Maintain a professional, organized, and welcoming reception area. Protect patient confidentiality and ensure compliance with HIPAA and privacy regulations. Perform administrative duties and support practice operations through teamwork, flexibility, and exceptional patient service. Qualifications High school diploma or equivalent required. Experience in a medical office, patient access, front desk, or healthcare administrative role. Oncology or specialty practice experience preferred. Experience with patient scheduling, registration, and insurance verification. Knowledge of medical terminology preferred. Excellent communication, customer service, and interpersonal skills. Strong organizational, time management, and multitasking abilities. Ability to manage a multi-line phone system and follow up on outstanding tasks. Detail-oriented, dependable, and able to work effectively both independently and as part of a team.
