We are looking for a Front Desk Coordinator who thrives in a busy clinical setting, can manage multiple tasks at once, and delivers excellent customer service with every patient interaction. This role is often the first and last impression patients have of our clinic, so we are looking for someone who is welcoming, professional, organized, and confident communicating with patients throughout their visit. This position is ideal for someone who can stay calm under pressure, switch between tasks quickly, enforce office policies respectfully, and keep the front desk running smoothly. We need someone who is dependable, team-oriented, and willing to jump in wherever needed to support the clinic, the providers, and the patient experience. Key Responsibilities Greet patients warmly and professionally as they arrive. Check patients in and out efficiently while maintaining accurate records. Collect payments, balances, co-pays, and other patient financial responsibilities. Review and enforce office policies with patients in a professional and consistent manner. Manage appointment scheduling, confirmations, cancellations, and patient follow-ups. Handle high-volume communication by phone, text, email, fax, and in person. Monitor and manage incoming and outgoing faxes, including routing documents to the appropriate team members. Assist patients with forms, intake paperwork, and general questions. Verify and update patient demographic and insurance information. Support billing, payment processing, and administrative workflows as needed. Maintain organization and cleanliness of the front desk and waiting area. Communicate clearly with providers, clinical staff, and administrative team members to support smooth patient flow. Work closely with the team to solve problems, keep the clinic running efficiently, and ensure patients are cared for from start to finish. Balance multiple priorities throughout the day while maintaining a positive patient experience. Highly trainable and adaptable, with a willingness to learn new systems and processes. Proactive and willing to take ownership of front-desk responsibilities without needing constant direction. Required Qualifications 1+ year of customer service experience required. Strong communication, organization, and multitasking skills. Reliable attendance and punctuality. Ability to work well as part of a team. Comfortable working with computers, phones, payment systems, and office equipment. Preferred Qualifications Prior healthcare, chiropractic, physical therapy, medical office, or allied health experience preferred. Familiarity with EMR systems such as ChiroTouch, QuickEMR, or similar. Basic knowledge of insurance verification, patient billing, or front-office healthcare workflows.
