Job Description

Job Overview:
At our dental office, the front desk sets the tone for the entire patient experience. We're looking for a friendly, organized Dental Receptionist who enjoys helping people feel comfortable and welcomed from the moment they walk through the door. In this role, you'll greet patients, help manage the daily schedule, assist with insurance verification, and keep patient records organized and ready for patient consents. Our office values a supportive and positive work environment. Some days are busy, while others allow for a steady, comfortable pace that lets you focus on giving patients great service. We use modern, user-friendly technology through VYNE Dental to help simplify many front desk tasks, making scheduling, insurance verification and documentation more efficient. Experience with dental or medical office software (we use Eaglesoft version 25) is a plus, but we're happy to train the right person . If you're reliable, personable, and eager to learn, we'd love to welcome you to our team.
Duties:
Greet patients warmly and professionally, creating a positive first impression. Schedule appointments efficiently using dental practice management software such as Eaglesoft. Verify insurance coverage and benefits, including Medicare, ensuring accurate billing and coding with CDT codes. Manage patient check-in and check-out processes, including intake forms and updating electronic health records (through VYNE or on paper). Handle multi-line phone systems with excellent phone etiquette to answer inquiries and assist the patients via phone for their needs, or route the call accordingly with clinical staff. Review medical documentation for accuracy and completeness, ensuring compliance with HIPAA regulations, especially checking that signatures are completed on all areas required. Perform insurance verification through VYNE (very user friendly) to facilitate smooth reimbursement processes. •We do have an insurance coordinator who handles claim processing, so this will not be apart of the receptionist job requirements, only the verifications. Maintain organized medical records, files, and documentation review to support clinic operations. Support medical administrative functions such as filing, data entry (including 10 key typing), and managing clinic schedules such as the hygiene chairs (typically we have 3) and the doctor procedure chair (up to 3). Assist in patient care plans by providing clear communication about procedures and follow-up appointments, as trained by clinical staff or office manager on verbiage.
Qualifications:
Proven experience as a Medical Receptionist or Dental Receptionist in a healthcare or dental clinic environment is IDEAL, however we are welcoming candidates with no prior experience, who are eager to learn. Strong knowledge of medical and/or dental terminology (CDT billing) is preferred. Familiarity with EMR/EHR systems such as Eaglesoft is highly preferred. Excellent computer skills including proficiency in Microsoft Office Suite and office management software like Eaglesoft is preferred. Ability to navigate multi-line phone systems with professionalism and courtesy is required. Bilingual abilities are a plus to serve diverse patient populations effectively, but this is not required and will not be a main deciding factor on our chosen candidate. Demonstrating strong organizational skills and attention to detail is required. Knowledge of HIPAA regulations to ensure confidentiality of patient information is preferred, however can be trained on. Strong customer service skills with the ability to handle sensitive situations tactfully is required. Experience with medical office management tasks such as insurance verification, documentation review, and appointment scheduling is preferred. Join us in delivering exceptional dental care by providing outstanding administrative support! Your dedication will help create a welcoming environment where patients feel valued and cared for from their first contact through their entire visit.
