Practice Manager / Clinic Director Position Overview The Front Desk Receptionist serves as the first point of contact for patients and visitors in a fast-paced medical clinic. This role is responsible for creating a welcoming environment, managing patient flow efficiently, and supporting clinical and administrative teams to ensure the highest quality of patient care. Ideal candidates are organized, proactive, compassionate, and able to multitask under pressure while maintaining professionalism and accuracy. Key Responsibilities Patient Interactions Warmly greet patients and visitors; provide exceptional customer service. Check patients in and out efficiently using the clinic's EMR/EHR system. Verify patient demographics, insurance information, and required documents at each visit. Collect co-pays, deductibles, and balances; provide receipts and maintain accurate cash logs. Schedule, reschedule, and confirm patient appointments. Answer incoming phone calls promptly; triage calls to appropriate staff following clinic protocols. Provide basic information about clinic services, hours, and policies. Administrative Duties Maintain cleanliness and organization of the front desk, lobby, and patient check-in areas. Process faxes, emails, and provider messages; route to appropriate team members. Prepare daily appointment schedules and assist with coordinating patient flow. Scan and upload documents into patient charts with accuracy and confidentiality. Assist with prior authorization forms, referrals, and medical records requests as needed. Support billing staff by ensuring accurate insurance and demographic entry. Follow HIPAA and clinic privacy/security policies at all times. Clinic Operations Collaborate with clinical staff to ensure efficient workflow. Monitor patient wait times and communicate any delays to patients and providers. Respond to urgent situations calmly and appropriately, following clinic emergency protocols. Participate in team meetings, staff training, and quality improvement initiatives. Qualifications Required High school diploma or equivalent. Minimum 1 year of experience in customer service, healthcare, or medical office setting. Strong communication skills (verbal, written, and interpersonal). Proficiency with computers, EMR/EHR systems, and basic office equipment. Ability to multitask, stay organized, and work in a fast-paced environment. Excellent attention to detail and accuracy in data entry. Professional, reliable, and punctual. Preferred Previous medical office, front desk, or medical receptionist experience. Knowledge of insurance verification, co-pay collection, and billing basics. Familiarity with HIPAA compliance. Bilingual (Spanish/English or other languages). Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to lift up to 20 lbs occasionally. Adequate hearing and vision to interact with patients, phone systems, and computer screens. Work Environment Fast-paced, patient-centered medical clinic.
