Front Office Receptionist at Integrative Dentistry Of New Mexico
PRIMARY RESPONSIBILITIES
Dental receptionists play an integral role in a dentist's office and perform a number of administrative and customer service-related duties. Common tasks of a dental receptionist include scheduling appointments, answering and placing phone calls and answering client questions. Dental receptionists must have administrative experience and certain skills to be successful in their positions. In this article, we discuss what a dental receptionist is, the most common duties of dental receptionists and the requirements to become a dental receptionist.
SPECIFIC DUTIES
Everyday Responsibilities Print Route Slips (Highlight/Separate) Open Blinds Plug in Water Fountain Alexa/ Air machine Check Voicemails Bathroom and Coffee Stocked / Trash is taken out Check mail Insurance patients- run claims (pre-authorizations) to see if they have a co-payments Updated forms, put on the day notes Look at schedule ahead of time Follow up with Dear Docs (online requested appointments) End of the day duties Check in with the doctor Close blinds/ Turn OFF everything Shred papers Add any notes on the schedule for things to get done. Prepare for tomorrow Front Office Duties 100% Best Customer Satisfaction ( Always polite and respectful) Patient Needs come first Checking People in and Out Answering Phones Scheduling appointments Having a Patients List to remind you of what they need/ needing to schedule or get done Scanning files into document managers Always asking every patient to reschedule recare (hyg. appointments) Confirming appointments for the next week (As you confirm make sure you send the forms out to their number or email and inform patients that they can have forms completed before appt. Or in the office) Making sure patients complete all forms (Do your best to have them do it electronically. Patients who want to do it on paper go to forms and give them the forms they need on paper and submit to the document manager, add a note that updated documents are in the doc. manager) Checking text messages Calling patients on the recare list to book hyg. appt. (Always put in the notes that you called them and left a message) Keeping up with inventory Assist office manager and coordinator with other responsibilities Office Participation Help in other areas of the office when necessary Be an active participant in team meetings Promote team concept by interacting with others in the office Give ideas during team meetings Keeping the office clean and organized Ensuring the schedule is running smoothly Being honest and coming to the and doctor with any concerns Cleaning the office, taking the trash out, doing the dishes, cleaning the kitchen frequently etc. as needed Completing tasks assigned by the office manager, doctor, or other employees To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Supplements inventory Consistently keeping things organized and stocked Make sure we have all brochures, etc. Check all the scan piles to make sure everything is scanned and shredded
PERSONNEL REQUIREMENTS
Education/Experience High School Diploma or GED required. 2 years of dental experience preferred Commitment for career development Interpersonal Knowledge, Skills and Abilities Strong knowledge of dental terminology and clinic operations. Good organization skills Attention to detail Proficiency in office management practices and procedures. Experience with financial management, including budgeting and resource allocation. Familiarity with OSHA standards and HIPAA compliance requirements. Ability to work effectively in a fast-paced environment while managing multiple priorities. Excellent communication skills, both verbal and written, with a focus on customer service. Computer skills [Dentrix ascend] Experience in dental settings is required. An individual who is proactive, detail-oriented, and passionate about contributing to the success of our clinic while providing exceptional care to our patients.
