Join our dynamic healthcare team, as a Medical Receptionist and Back Office Administrator, where your energetic and detail-oriented approach will ensure smooth patient experiences and efficient clinic operations. In this vital role, you will serve as the first point of contact for patients, managing intake, scheduling, and administrative support while assisting a " jackie or jack of all roles " position. Culture is extremely important to this practice and the team is kind, communicative and drama free. We operate with team oriented support and are looking for the perfect fit for the overall caring dynamic we carry. Positive mental attitude and presence of peace is critical for the right applicant to possess. We are addressing mental health supporting a new modality of care, offering psychedelic therapy for treatment resistant depression. Ideal candidate is open to alternative modalities and non traditional western medicine, however our services are FDA approved and completely legal. Your expertise in EMR systems and medical terminology will drive accurate documentation and seamless communication across departments. This position offers an exciting opportunity to contribute to high-quality patient care in a fast-paced environment that values proactive problem-solving and exceptional service. Duties Greet patients warmly upon arrival, verify insurance coverage, and facilitate patient check-in processes using EMR Manage appointment scheduling, rescheduling, and cancellations. Collect and review patient information, ensuring accuracy in documentation review and data entry within electronic health records (EHR) systems Handle multi-line phone systems with professional phone etiquette to answer inquiries, provide appointment reminders, and direct calls appropriately Support back-office functions, primarily assisting clinical director in organization task and systems improvement. Perform administrative tasks including typing reports, managing office supplies, and supporting front desk operations to ensure a smooth workflowExperience Proven experience in a medical office setting or healthcare environment with familiarity in clinic or dental practice operations Excellent computer skills including Microsoft Office Suite (Word, Excel) Exceptional customer service skills with the ability to communicate effectively via phone and in person while maintaining professionalism and empathy Bilingual abilities are highly desirable to serve diverse patient populations effectively Prior clinic or dental office experience involving intake procedures, appointment scheduling, medical records management or front desk support is preferred Knowledge of HIPAA regulations along with understanding of healthcare documentation review processes ensures compliance and confidentialityJoin us to make a meaningful difference by providing outstanding patient support while advancing your career in a vibrant healthcare setting!
