Unit Secretary - Full Time. 7:30a-6pm, Rotating weekend days and holidays. This position is eligible for applicable shift pay differentials. The Unit Secretary at Wellbridge Addiction Treatment & Research provides critical administrative, clerical, and clinical support for our inpatient stabilization, rehabilitation, and reintegration programs. The Unit Secretary promotes collaborative and respectful interactions within the healthcare team.
RESPONSIBILITIES INCLUDE
Provide administrative and clerical assistance to staff. Manage visitor and patient flow, including admissions, transfers, discharges, and bed assignments. Assist in organizing each shift by creating interdisciplinary team communications, patient assignment sheets, and shift hand-off documentation. Coordinate patient transportation to/from hospitals. Manage calls and phones for all units, providing clear and timely communication across multiple units. Float between units to support staff and ensure operational consistency. Maintain accurate and organized patient medical records and charts Monitor supply levels, organize and manage inventory. Participate in interdisciplinary team huddles and meetings, contributes to patient care improvements. Communicates with Operations, Maintenance, and Housekeeping teams for departmental needs. Supports and trains new employees. Supports a collaborative and high-quality care environment.
ESSENTIAL FUNCTIONS
Conduct general office duties, communicate information clearly orally and electronically. Consistent computer and phone use. Continuously traverse all nursing and facility areas.

QUALIFICATIONS
High school diploma or equivalent. Experience in healthcare, behavioral health, or addiction treatment settings. Basic Life Support (BLS) certification (or obtain within 60 days). Basic knowledge of addiction treatment and mental health services. Excellent organizational, communication, and interpersonal skills. Ability to multitask efficiently in a fast-paced environment.
Preferred:
Certificate or training in health administration, medical office administration, or related field. Current BLS certification. Proficiency in medical terminology and electronic health record systems. Familiarity with OASAS, ASAM, and Joint Commission standards.
