DETAILS ABOUT THE UNIT SECRETARY
Required Qualifications Education:
HS Diploma/GED Experience:
1+ years of Clerical work. Front Desk reception. Phone, patient greeter, scanning, basic computer. Medical Terminology Course or Medical background preferred. Computer skills required and strong communication skills. Organizational, prioritization and assertiveness skills.
Key Responsibilities:
Under the direction of the Clinical Nurse Manager and/or the Charge Nurse act as a patient care team member with the responsibility for the units clerical duties. Key focus for this position is on chart management and unit communications. Knowledgeable regarding patient and staff activity levels on their assigned unit. Facilitates all transportation/specimen/equipment requests to provide timely response for staff and patient needs. Answers the Nurse Call intercom and relays patient's requests to the appropriate person. Maintains patient identification responsibilities per unit requirements: Names over beds; Dashboards; patients at risk for falls. Updates manuals and bulletin boards on a routine basis. Orders all units clerical and chart supplies and maintains appropriate par levels in established files. Maintains a clean, neat and orderly work area and Nursing station. results with the charge nurse, posting of results. Proactively obtains missing elements of the medical record, to facilitate record completion on the unit. Reviews charts prior to discharge or transfer for completeness. Thins patient chart as required and maintains files of same. Obtains old chart from Health Information Management Department when requested. Returns all old medical records to the Health Information Management Department 5 days after admission. Reviews all charts for completion continually and prepares the chart in universal chart order to facilitate coding and billing. Works directly with the Charge Nurse reviewing all CPOE orders when necessary. Efficiently utilizes the computer system for order entry, results reporting and timely notification of admissions, transfers and discharges. Demonstrates ability to initially troubleshoot the computer and interact effectively with the Help Desk. (ie) rebooting, closing of windows Maintains patient confidentiality by proactively closing open screens on all unit computers. Greets and directs visitors. Receive and direct patients, provide patient information where appropriate. Answer telephone, receive and/or redirect telephone calls. Record and relay messages. Oversees and facilitates intra and inter departmental communications. Maintain and develop professional/technical knowledge, including attendance at hospital and outside educational programs. 23 Utilize time effectively. Constantly strive to improve every process by which work is accomplished. Possess the ability to work under stress, accept responsibility and use good judgment. Maintain interpersonal relationships in a positive manner. Develops and maintains good working relationships with other department personnel, outside agencies, medical staff, superiors, subordinates and others, utilizing the HVHC philosophy of customer service and the culture dictated by the organization's mission. Consistently adapts to new or unusual situations without affecting performance or work procedures within the department. Receives and executes delegated tasks and promotes in others the willingness to work toward common objectives. Attends staff meetings per hospital and scheduling guidelines. Provides excellent and responsible service to patients and all other members of the hospital family. May have access to areas where sealed/packaged sterile medication kits are stored. Must always lock door when leaving. Never open the door to an unauthorized person. Performs various other related job duties as may be deemed necessary and appropriate or as may be directed by Department Manager.
