We are seeking a warm, professional, and highly organized Receptionist / Client Services Coordinator to serve as the first point of contact for prospective and existing clients. Position Overview As the Receptionist / Client Services Coordinator, you will be the welcoming voice and face of Tully Law Group. You will help prospective clients understand how we can assist them, guide them through the intake process, schedule consultations, and ensure every individual experiences the exceptional service that defines our firm. In addition to supporting prospective and existing clients by phone, you will play a key role in creating a welcoming and professional office environment. You will greet clients and guests, prepare conference rooms for meetings, and help ensure every visitor has a positive experience from the moment they enter our office. This is not a cold-calling position. Success in this role comes from building trust, demonstrating empathy, and helping families take the next step toward getting the support they need. Key Responsibilities Client Experience Answer incoming calls professionally and warmly. Welcome clients, guests, referral partners, and vendors to the office. Greet visitors upon arrival and ensure they are comfortable while waiting. Escort clients to conference rooms and notify team members of their arrival. Offer refreshments when appropriate and create a warm, welcoming atmosphere. Build rapport through active listening and genuine empathy. Provide information about our services and client process. Create a positive and reassuring experience for every caller and visitor. Reception & Office Hospitality Maintain conference rooms in a professional and client-ready condition. Manage client meeting flow. Prepare conference rooms before meetings, ensuring materials, seating, technology, and refreshments are ready. Reset and tidy conference rooms following meetings to prepare them for the next appointment. Monitor reception and common areas to ensure they remain clean, organized, and welcoming. Coordinate with office staff regarding meeting schedules and room availability. Assist with maintaining office supplies and hospitality items for client meetings. Consultation Scheduling Determine the nature of each inquiry and schedule appointments with the appropriate attorney. Manage attorney calendars efficiently. Confirm appointments and ensure all required information is collected. Intake & Conversion Guide prospective clients through the intake process. Answer questions and address concerns. Clearly communicate the value of our services. Help qualified prospects take the next step toward scheduling a consultation. Administrative Support Maintain accurate records within our CRM and case management systems. Document client interactions and follow-up activities. Assist with scanning, document preparation, filing, and general office support. Team Collaboration Coordinate with attorneys, care coordinators, and team members to ensure a seamless client experience. Support firm initiatives that improve client satisfaction and operational efficiency. Qualifications Experience Previous experience in customer service, intake, hospitality, healthcare, sales, client relations, or administrative support. Experience in a law firm, financial services firm, healthcare organization, or other professional environment is a plus. Skills Exceptional verbal and written communication skills. Strong organizational and multitasking abilities. Comfort with CRM systems, Microsoft Office, and scheduling software. Ability to build trust and communicate confidently with prospective clients.
