Job Description

Job Summary We are seeking a dedicated and highly organized Medical Secretary to join our healthcare team. In this vital role, you will serve as the primary point of contact for patients, healthcare providers, and insurance companies, ensuring smooth administrative operations within the medical practice. Your energetic approach and attention to detail will help facilitate efficient patient flow, accurate documentation, and effective communication across all departments. This position offers an exciting opportunity to contribute to quality patient care while utilizing your comprehensive medical office experience and technical skills. Responsibilities Manage patient scheduling, appointment confirmations, and follow-up communications using EMR (Electronic Medical Record) system Athenahealth. Verify insurance coverage, scan insurance cards, process copays and perform insurance verification to ensure accurate billing and reimbursement. Prepare and review medical documentation, including specialists consult notes, progress notes, and referral letters for accuracy and completeness. Handle incoming calls with professional phone etiquette, address patient inquiries, and direct calls appropriately across multi-line phone systems. Maintain meticulous medical records by filing documents correctly in EMR while ensuring compliance with HIPAA regulations. Support front desk operations including patient intake, appointment scheduling and managing office supplies to ensure a welcoming clinic environment. Perform administrative tasks such as data entry using Microsoft Office tools, document review, and filing to uphold health information management standards. Knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, and Medicare billing processes not required but is a plus. Qualifications Proven experience as a Medical Secretary or in a similar medical administrative support role within a clinical setting or dental office environment. Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks is preferred. Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and health information management software. Ability to handle sensitive patient information in compliance with HIPAA regulations with discretion and professionalism. Exceptional organizational skills with attention to detail for documentation review and accurate data entry. Strong customer service skills combined with effective phone etiquette and clerical experience in a busy office environment. Strong knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, and Medicare billing processes. $16.00 - $19.00 per hour
