We are seeking an organized, and professional Dental Office Receptionist to join our team at Upstate Oral Surgery. This position supports patients, providers, and the clinical team by coordinating referral appointments, verifying insurance information, maintaining accurate patient records, and providing exceptional customer service. The ideal candidate is detail‑oriented, organized, and able to manage multiple priorities while maintaining professionalism and confidentiality. This role requires strong communication skills, the ability to navigate patient questions with empathy, and a commitment to representing the practice in a pleasant, cooperative manner at all times. Essential Roles & Responsibilities Referral Coordination & Appointment Scheduling Coordinate and schedule referral appointments for patients in accordance with provider recommendations. Send referral documentation, treatment notes, and X‑rays to outside providers as needed. Provide patients with referral instructions, appointment details, and follow‑up expectations. Send registration forms, appointment reminders, and post‑surgical follow‑up communications. Ensure referrals are processed and addressed in a timely manner. Patient Records Management Maintain accurate, up‑to‑date patient records in compliance with HIPAA and all applicable regulations. Update demographic information, medical history, medications, allergies, and treatment notes. Assemble and prepare clinical information required for referrals, including history, diagnosis, medications, and prognosis. Provide appropriate clinical documentation to specialists and internal team members (e.g., financial coordinator). Ensure all documentation is complete, accurate, and properly stored. Insurance Verification & Coordination Collect and verify insurance information during scheduling and prior to appointments. Contact insurance representatives to confirm eligibility, coverage, copays, and procedure benefits. Ensure accurate billing information is documented for reimbursement purposes. Communicate insurance concerns or discrepancies to the Insurance Coordinator and Office Manager. Patient Communication & Support Serve as a primary point of contact for patients and families, answering questions and resolving concerns with professionalism and empathy. Provide information needed for patients to make informed care decisions, following HIPAA guidelines. Assist patients in navigating potential barriers such as transportation, language needs, or financial concerns (e.g., arranging interpreters or connecting with assistance programs). Maintain a welcoming, supportive environment for all patients. Duties & Responsibilities Maintain ongoing tracking and documentation of referrals, insurance, and clinical information. Ensure complete and accurate patient registration and demographic data. Review referral expectations and instructions with patients. Act as a system navigator for patients and families, ensuring they know who to contact for questions or concerns. Identify and utilize cultural, community, and specialty resources as appropriate. Confirm patient appointments via phone, email, or mail. Maintain regular and punctual attendance in accordance with the practice schedule and time‑off policy. Communicate effectively with the Insurance Coordinator, Office Manager, and Dr. Curtis regarding concerns or issues. Represent the practice in a professional, pleasant manner at all times. Perform other duties as assigned within the scope of training and experience. Education & Experience Requirements High school diploma or GED required. Prior experience in a medical, dental, or oral surgery office preferred. Experience with insurance verification, scheduling, or referral coordination strongly preferred. Strong customer service background required. Familiarity with HIPAA and patient confidentiality standards. Skills & Competencies Excellent communication and interpersonal skills. Strong attention to detail and accuracy. Ability to manage multiple schedules and tasks simultaneously. Proficiency with practice management software, email, and phone systems. Ability to maintain confidentiality and handle sensitive information. Professional, calm, and patient‑focused demeanor. Physical Requirements Ability to sit, stand, and use a computer for extended periods. Ability to lift or move up to 10-15 pounds occasionally (files, office supplies).
