Responsibilities Greet patients warmly and efficiently manage check-in and check-out procedures using various Electronic Health Record (EHR) systems such as Practice fusion, Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, and others. Schedule appointments accurately utilizing medical scheduling software while coordinating with clinical staff to optimize daily clinic flow. Collect and review patient information, update medical records, and ensure all documentation complies with HIPAA regulations for health information privacy. Assist with medical billing and coding tasks including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to facilitate accurate claims submission. Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette while managing appointment inquiries and patient questions. Maintain organized filing of medical records, manage electronic documentation review, and support office management tasks such as filing, data entry, and office supply inventory. Support front desk operations by managing patient intake processes, including collecting demographic data and explaining clinic procedures clearly. Utilize computer skills in Microsoft Office Suite for report generation, correspondence, and administrative documentation. Collaborate with clinical staff to prepare care plans and assist in health information management to ensure seamless clinic operations. Experience Prior experience working in a medical office or healthcare environment is required; clinic or dental office experience is highly preferred. Demonstrated proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, Dentrix or Eaglesoft is essential. Strong knowledge of medical terminology, CPT coding, ICD-9/10 coding standards, and medical billing procedures. Familiarity with HIPAA regulations related to patient privacy and data security is mandatory. Bilingual abilities are a plus to effectively serve diverse patient populations. Excellent clerical skills including typing (10 key typing), filing, data entry, and managing multi-line phone systems are necessary. Proven ability to provide exceptional customer service while maintaining professionalism in high-pressure situations. Office management skills including appointment scheduling, Pre authorization, documentation review, and health information management will set you apart.
