Women Position Summary :
Responsible for greeting patients and other customers as well as scheduling patient appointments. As the "face of the office" this role is extremely important to provide the highest level of customer service and represent the office values and culture.
Position Accountabilities:
Greets patients and other customers in a polite, prompt, helpful manner. Provides any necessary instructions/directions. Informs physician or office staff of patient or customer's arrival. Verifies and updates patient demographic information with each visit. Collects physician office co-payments and other patient balances. Provides patient with any necessary forms needing completion and obtains signatures as necessary. Uses computer system to generate encounter forms needed for documenting patient visit charges. Answers phone in a pleasant manner and deals with customers needs expeditiously. Takes and delivers telephone messages as necessary. Reviews patient schedule and makes daily patient appointment reminder telephone calls as necessary. Uses computer systems to schedule patient follow-up appointments. Schedules patient referrals to specialists for diagnostic testing or evaluation. Uses computer systems to post patient visit charges as well as hospital visit and consult charges. Identifies appropriate diagnostic and procedure codes and posts confirms appropriate posting to the electronic health record and practice management systems. Records and/or routes laboratory, radiology, and other information in electronic health record. Maintains clean orderly waiting area. Participates in health staff meetings and other quality improvement meetings as needed. Other duties as assigned. Position Qualifications:
Education -
Required:
High School Diploma or GED Education -
Preferred:
Medical Assisting Training Program and Certified Medical Assistant designation
Minimum Experience:
Minimum of 1 year of experience in customer service setting, preferably six months receptionist experience in health care setting and experience with computer systems and office equipment.
Competencies Required:
Knowledge:
Knowledge of reception tasks, office policies/procedures, paperwork. Knowledge of how to use office equipment including computer, phone, copier/fax machines. Knowledge of customer service concepts and techniques.
Skills:
Skill in using office systems and equipment satisfactorily and handling paperwork/filing adequately. Skill in customer service principles by creating a warm and inviting atmosphere.
Abilities:
Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff and other customers. Ability to organize and prioritize tasks effectively. Ability to read, understand, and follow oral and written instructions.
