This team member manages the front desk workflow, patient communication, and administrative tasks with a focus on efficiency, organization, and hospitality. This role also serves as the liaison between the clinical team and the patient, playing a key role in treatment case acceptance and patient financial understanding. This position is responsible for presenting treatment plans, discussing financial options, and guiding patients through their care journey with confidence and compassion. Roles & Responsibilities Scheduling & Appointments Management Greet patients warmly upon arrival and check them in/out efficiently. Answer incoming calls promptly and professionally. Schedule and confirm appointments for hygiene and restorative care. Maintain appointment blocks for new patients and same-day treatment when applicable. Verify and document referral sources for all new patients. Recare and unscheduled treatment calls to maintain a full schedule for hygienists and doctors. Schedule and manage follow-up appointments related to treatment plans. Monitor and maintain a report of unscheduled treatment and proactively re-engage patients. Patient Communication & Support Provide excellent customer service and act as the first point of contact for all patient needs. Explain office policies, procedures, and financial options clearly and respectfully. Coordinate patient flow and ensure timely transitions between front and back office. Manage communication regarding incomplete treatment or unscheduled recall. Assist with patient satisfaction and retention efforts, including follow-up calls and emails. Administrative Duties Collect and update patient forms, insurance cards, and identification as needed. Ensure all patient information is accurate and up to date in the practice management software. Maintain a tidy and professional front office and reception area. Manage incoming and outgoing mail, faxes, and office correspondence. Scan, upload, and organize patient documents in the Document Center. Insurance & Financial Coordination Assist with collecting co-pays, past due balances, and patient payments at time of service. Ensure accurate end-of-day batching and reconciliation with the financial coordinator or manager. Upload insurance into document center, and then update frequencies, deductibles, and maximums to help ensure accurate estimates and benefit tracking. Provide clear cost breakdowns and payment options based on the patient's insurance and financial situation. Discuss and offer in-house payment plans, third-party financing (e.g., CareCredit, Cherry) and same-day discounts when applicable. Ensure all financial arrangements are documented, signed, and scanned into the Patient Document Center. Review insurance benefits and calculate accurate co-payments using up-to-date fee schedules and breakdowns. Treatment Presentation & Case Acceptance Present comprehensive treatment plans clearly and confidentially to patients. Review diagnoses and ensure patients understand the need, urgency, and benefits of care. Build trust with patients by answering questions and alleviating concerns. Track and follow up on pending treatment to increase case acceptance. Team Collaboration Communicate clearly and consistently with other front office team members and clinical staff. Participate in daily huddles, weekly team meetings, and ongoing training. Uphold patient confidentiality and HIPAA compliance at all times. Communicate regularly with doctors and assistants to ensure alignment on treatment recommendations.
