The bilingual Administrative Assistant\Receptionist provides administrative support to a team of Legal Assistants, paralegals and attorneys. Must demonstrate great customer service skills and interpersonal skills at times. Will work directly with the Law Firm's Office Manager, Director of Legal Assistants and the Director of Operations and Staff.
Specific Job Duties include:
Professional Standards / Ethics & Conduct Maintains professionalism and high client service standards at all times Demonstrate respectful, courteous, and culturally sensitive communication with all clients Uphold confidentiality of client information and legal matters Adheres to firm policies, procedures, and ethical guidelines Front Desk & Client Interaction Welcome visitors by greeting them professionally, both in person and over the phone Maintain a professional, organized, and welcoming front desk area Greet prospective new clients (PNCs) and assist with document copying and scanning for attorney consultations Ensure business cards and front desk materials are fully stocked Office Operations Open and close the office daily; maintains punctuality and reliability at all times Organize, maintain, and clean the office break room and supply cabinets (including ordering from vendors such as Costco and Amazon) Assist the Office Manager with preparing monthly supply inventory Ensure office equipment (printers, scanners, fax machines, computers, phones) is functioning properly and coordinates with service providers as needed Phone & Communication Management Answer main office phone line, direct calls appropriately, and take detailed messages Follow up with callers as necessary to ensure timely communication Ensure Voicemails are documented in Mycase and forwarded to appropriate legal team Mail & Case Management Process incoming mail: scan, upload, distribute, and file according to firm procedures Input case notes into firm case management software (e.g., MyCase) Process outgoing mail and document all actions in the system Administrative Support Provide administrative support to attorneys and paralegals as needed Ensure inter-office document transfer in a timely manner Client Notifications & Case Follow-Up Notify clients of USCIS interview notices (e.g., N-400, I-485) and oath ceremonies Notify clients of biometric appointments, including reminders and follow-up for proof of attendance Follow up on and release documents such as PIP approvals, I-94s, EADs, and LPR cards General Responsibilities Perform all other duties as assigned
