Job Description

Front Office Coordinator — Podiatry Practice King of Prussia, PA 19406 Part-time Part-time About This Role Advanced Foot & Ankle Wellness Center is seeking a Front Office Coordinator who is genuinely good with people, highly organized, detail-oriented, and dependable. In a small specialty medical practice, the front office sets the tone for the entire patient experience. You are often the first person patients see and the last person they speak with before leaving. This position requires a high level of personal accountability. Successful candidates are able to manage multiple responsibilities simultaneously, identify issues proactively, and complete tasks accurately without frequent reminders. We are a fast-paced podiatry practice seeing approximately 20+ patients per day. Candidates should be comfortable balancing patient service, insurance verification, collections, scheduling, and administrative responsibilities while maintaining professionalism and accuracy.
What You Will Do:
Patient Check-In Verify patient identity at every visit Confirm demographics, insurance information, and pharmacy information Ensure all required forms and annual updates are completed and signed Maintain a welcoming and professional patient experience Insurance Verification Verify insurance eligibility prior to appointments Review deductibles, copays, referral requirements, authorization requirements, and coverage limitations Identify and communicate insurance issues proactively before patient arrival Document verification findings accurately in the EHR Copays, Payments & Collections Review patient balances and collect copays and outstanding balances Post payments accurately Explain financial policies professionally and confidently Escalate billing concerns appropriately when needed Patient Checkout & Scheduling Schedule follow-up appointments accurately Verify that charges have been entered correctly Review patient instructions and next steps before departure Ensure patients understand follow-up recommendations Chart Preparation & Administrative Support Review upcoming schedules to ensure charts are complete and ready Identify missing documents, referrals, authorizations, imaging reports, or other outstanding items before appointments Process patient forms and administrative requests Assist with recall lists, appointment confirmations, and patient follow-up communications No-Show & Recall Management Document missed appointments according to office policy Maintain recall and follow-up lists Notify appropriate team members of scheduling concerns and outstanding patient needs Team Support Cross-train and assist with administrative and patient-flow responsibilities as needed Support overall office operations in a small-team environment where everyone contributes to patient care and practice success What We Are Looking For Minimum 1 year of medical front office experience required We are willing to train the right candidate who demonstrates reliability, professionalism, strong organizational skills, attention to detail, and a positive attitude. Previous podiatry experience is not required. We value work ethic, accountability, and the ability to learn as much as prior specialty experience. Experience with EHR scheduling, registration, and patient check-in DrChrono experience preferred but not required Excellent verbal and written communication skills Strong attention to detail and follow-through Ability to manage multiple responsibilities while maintaining accuracy Comfortable discussing balances and collecting payments professionally Reliable attendance and punctuality Ability to work independently and take ownership of responsibilities Patients are greeted professionally and checked in accurately Insurance issues are identified before the patient arrives Copays and balances are collected consistently Follow-up appointments are scheduled correctly Charts are prepared and ready before appointments Tasks are completed without needing frequent reminders Patients receive a positive, professional experience Team communication remains respectful and productive
