Job Description

The Medical Receptionist plays a key role in delivering an exceptional patient experience across StrongURCare's Super Urgent Care, Rheumatology Clinic, and Infusion Center. This position is responsible for efficient front‑end operations including patient check‑in/check‑out, appointment coordination, insurance verification, and patient communication. In addition, this role supports the Rheumatology team by managing clinical in‑basket messages, routing patient needs appropriately, and ensuring timely follow‑up. This role requires professionalism, strong communication skills, attention to detail, and the ability to work in a fast‑paced, multi‑specialty clinical environment. Key ResponsibilitiesFront Desk Operations Greet patients warmly and provide a welcoming, professional first impression. Complete check‑in and check‑out processes for Urgent Care, Rheumatology, and Infusion Center visits. Verify insurance, collect copays, and ensure accurate demographic and financial information. Schedule, reschedule, and confirm appointments across all service lines. Maintain organized patient flow and communicate wait times as needed. Answer incoming calls, triage requests, and direct calls to appropriate staff. Process medical record requests, forms, and documentation according to policy. Ensure compliance with HIPAA and StrongURCare privacy standards. Rheumatology In‑Basket & Clinical Support Monitor and manage rheumatology in‑basket messages throughout the day. Route clinical questions, refill requests, and symptom updates to the appropriate provider or nurse. Document patient communication accurately and promptly in the EHR. Assist with prior authorization coordination by gathering required information and forwarding to the clinical team. Track and follow up on outstanding patient needs to ensure timely resolution. Support infusion scheduling and communication related to biologics, infusion therapy, and treatment plans. Patient Experience & Communication Provide clear, compassionate communication to patients regarding appointments, instructions, and clinic processes. Assist patients with portal access, paperwork, and general questions. Maintain a calm, supportive presence during high‑volume or urgent situations. Uphold StrongURCare's commitment to efficient, patient‑centered care. Qualifications High school diploma or equivalent required; medical office or healthcare coursework preferred. Prior experience in a medical office, urgent care, or specialty clinic strongly preferred. Knowledge of insurance verification, copay collection, and EHR workflows. Strong organizational skills with the ability to multitask across multiple departments. Excellent communication, customer service, and problem‑solving abilities. Comfort working in a fast‑paced clinical environment with shifting priorities. Experience with rheumatology, infusion therapy, or specialty care coordination is a plus. Schedule & Work Environment Position may rotate between Super Urgent Care, Rheumatology Clinic, and Infusion Center based on daily needs. Requires flexibility, teamwork, and the ability to support multiple providers and clinical workflows. Full‑time position with potential evening or weekend shifts depending on clinic hours.
