ABOUT THIS POSITION
The Wellness Coordinator is a central role at Declare Wellness Center, responsible for managing the day-to-day operations of the front office and serving as the first point of contact for every patient who calls, walks in, or reaches out to the practice. This person plays a key role in shaping the patient experience and ensuring the practice operates smoothly, professionally, and efficiently each day. Beyond scheduling, patient communication, and front desk operations, this person will develop a strong understanding of our programs and membership model, becoming a trusted and reliable presence for patients throughout their experience with the practice. In your first 90 days, success looks like confidently running the front office independently, building strong relationships with patients and the team, and maintaining a level of professionalism and organization that allows the clinical team to operate effectively and efficiently. 4.
KEY RESPONSIBILITIES
Patient Experience & Front Desk Operations
  • Own the front desk experience end-to-end
  • greeting patients, managing check-in and check-out, and ensuring every interaction reflects the standard of care Declare is known for.
  • Serve as the primary point of contact for patient communication via phone, text, and email
  • responding with urgency, warmth, and professionalism.
  • Manage patient and provider scheduling with accuracy, proactively anticipating and resolving scheduling conflicts.
  • Create a welcoming, proactive, and organized patient experience from the moment patients arrive. Office Operations & Administration
  • Maintain accurate patient records, intake documentation, and data within the EMR system.
  • Manage office supplies, supplements, and daily operational logistics to ensure the practice runs efficiently and without interruption.
  • Execute established front desk workflows consistently and thoroughly, understanding both the process and the purpose behind it.
  • Identify operational gaps early and communicate clear, actionable solutions to leadership. Systems & Process Ownership
  • Refine and maintain SOPs, checklists, and operational templates to support consistency and efficiency across front office operations.
  • Create new documentation as workflows evolve and new systems or processes are introduced.
  • Evaluate current workflows from a hands-on operational perspective and implement improvements in alignment with leadership. Team Communication & Support
  • Participate in daily morning huddles, arriving prepared with schedule updates and relevant patient information for the day.
  • Communicate patient concerns, scheduling conflicts, and operational updates promptly and professionally to clinical staff and leadership.
  • Ensure all tasks, follow-ups, and communications are completed thoroughly and consistently.
  • Provide administrative and operational support to leadership as the practice continues to grow.

SKILLS & QUALIFICATIONS
Required Preferred (Nice to Have) 3+ years of experience in a customer-facing or office management role
  • strong customer service skills are essential, not optional Exceptional verbal and written communication skills
  • clear, confident, and professional in every interaction Strong technology aptitude with the ability to learn new systems quickly
  • Google Suite, scheduling platforms, and EMR systems Exceptional organizational skills with the ability to manage multiple priorities simultaneously without sacrificing accuracy Composed, professional, and reliable under pressure
  • consistently, not just on good days Experience in a medical, wellness, or holistic healthcare environment Familiarity with EHR or EMR systems Experience creating or refining SOPs, checklists, or operational workflows Background in office management with an operational improvement focus Personal interest in health, wellness, or integrative medicine 6.

COMPENSATION & BENEFITS
Pay:
$25.00
  • $32.
00 per hour, based on experience
Bonus Structure:
Performance-based bonus; eligible after the 90-day introductory period
Schedule:
Monday, Wednesday, Thursday, 8:00 AM
  • 4:30 PM | Tuesday 8:00 AM
  • 7:30 PM | Fridays required during initial onboarding and training | No holidays

By the 90-day mark, success looks like full ownership of the front desk, a strong understanding of Declare's workflows and standards, and the ability to proactively identify solutions and improvements without constant oversight. When the clinical team can focus fully on patient care because the front office is operating seamlessly, that is what success looks like in this role. 9.
