Job Description

Job Summary We are seeking a dedicated and detail-oriented Medical Appointment Scheduler to join our healthcare team. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a comprehensive understanding of medical administrative support. In this role, you will be responsible for coordinating patient appointments efficiently, managing scheduling systems, and ensuring seamless communication between patients and healthcare providers. Your expertise in medical office management and familiarity with electronic health record (EHR) systems will be essential to providing outstanding patient service and supporting clinical operations. We are seeking a dependable, full-time employee interested in a long-term career opportunity with our practice. This is not a temporary or seasonal position. Responsibilities Schedule patient appointments accurately using various EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Verify insurance coverage and perform insurance verification to facilitate smooth billing processes. Manage appointment calendars for multiple providers, ensuring optimal utilization of clinic resources. Communicate effectively with patients via phone and other channels, demonstrating professional phone etiquette and customer service skills. Review medical documentation, care plans, and medical records to ensure completeness and accuracy prior to appointments. Assist with administrative tasks such as filing, data entry, and maintaining organized medical records in compliance with HIPAA regulations. Coordinate with clinical staff to facilitate patient intake, follow-up scheduling, and rescheduling as needed. Utilize computer skills including Microsoft Office applications and specialized dental or medical office management software like Eaglesoft or Dentrix. Support front desk operations by managing multi-line phone systems, greeting patients, and providing exceptional patient service. Ensure compliance with HIPAA standards during all documentation review and data handling activities. Perform insurance verification for various plans including Medicare and Medicaid to ensure accurate billing and reimbursement. Experience Proven experience in medical scheduling or administrative support within a healthcare setting, preferably in clinics or dental offices. Familiarity with EMR/EHR systems eClinicalWorks, Dentrix, or Eaglesoft is highly desirable. Knowledge of medical terminology, CPT coding, ICD-9/10 coding, and medical billing procedures to assist with documentation review and coding accuracy. Previous clinic or hospital experience demonstrating proficiency in appointment management and patient service delivery. Strong clerical skills including filing, data entry (10 key typing), and maintaining organized records in accordance with healthcare regulations. Bilingual abilities are a plus to serve diverse patient populations effectively. Experience working with insurance companies for verification purposes and understanding of Medicare policies is advantageous.
