Position Summary The Medical Receptionist serves as the first point of contact for patients and visitors. This role is responsible for delivering exceptional customer service while supporting the daily operations of the practice through scheduling, insurance verification, patient communications, documentation management, and administrative support. Key Responsibilities Patient Experience & Communication Answer incoming phone calls professionally and courteously Address patient inquiries and direct calls appropriately Take accurate messages and ensure timely follow-up Provide a welcoming and supportive experience for patients and visitors Assist patients with navigating office procedures and technology as needed Scheduling & Administrative Support Schedule new patient appointments and follow-up visits Coordinate provider schedules to optimize patient access and clinic workflow Verify completion of required intake forms and documentation Upload intake paperwork and supporting documents into the electronic medical record Enter and manage nurse messages and patient communications within Updox Assist patients with submitting nurse messages when needed Insurance & Financial Responsibilities Verify insurance eligibility and benefits Collect copays, balances, and patient payments Assist with accurate documentation to support billing processes Clinical Support Obtain and document vital signs, including blood pressure, pulse, temperature, and respiratory rate Accurately document findings within the patient's chart Assist patients during neurocognitive testing by providing instructions, support, and guidance with computer-based assessments Office Operations Maintain a clean, organized, and professional front office environment Assist with end-of-day cleaning of the reception area and workstation Support team members with administrative tasks as needed Adhere to HIPAA and confidentiality standards at all times Qualifications Previous experience as a Medical Receptionist or in a healthcare administrative role preferred Experience with EMR/EHR systems strongly preferred Knowledge of medical terminology Experience with insurance verification and patient scheduling Strong computer skills and comfort with technology Excellent customer service and communication skills Professional phone etiquette and active listening skills Strong organizational and time-management abilities Ability to multitask in a fast-paced environment High level of professionalism, reliability, and attention to detail Ideal Candidate We are looking for someone who is: Kind and compassionate Reliable and accountable Comfortable working independently Detail-oriented and organized Calm under pressure Committed to providing an exceptional patient experience Passionate about supporting individuals seeking mental health care Why Team Members Choose Tranquility A supportive and collaborative team environment Four hours of dedicated Mental Health Time every Friday Meaningful work that directly impacts patients and families Professional development and growth opportunities A culture built on respect, accountability, and teamwork Leadership that values both patient care and employee wellbeing The opportunity to be part of a practice guided by purpose rather than volume We are not simply filling a position.
