As needed•25% Percentage ________________________________________ Position Summary The Medical Receptionist is responsible for providing exceptional customer service and patient support at MMC. This role serves as the first point of contact for patients and visitors and is responsible for greeting patients, verifying demographic and insurance information, collecting co-payments, managing appointments, and supporting efficient front office operations. The Medical Receptionist plays a key role in facilitating a smooth patient experience and supporting the clinical team while upholding MMC's core values of Compassion, Integrity, Teamwork, Innovation, and Excellence. The individual must maintain professionalism, accuracy, and confidentiality in all patient interactions. ________________________________________
Essential Duties & Responsibilities Patient Reception & Check-In/Out:
Greet patients, visitors, and vendors in a courteous and professional manner Verify patient demographics, identification, insurance coverage, and required documentation. Collect co-payments and outstanding balances and issue payment receipts Assist patients with registration forms and ensure all required information is completed accurately Answer general administrative questions and set expectations for the patient visit Direct patients to appropriate exam or treatment areas Schedule follow-up appointments and provide patients with post-visit instructions.
Appointment Scheduling & Coordination:
Schedule, reschedule, and confirm patient appointments based on provider availability and office protocols Respond to scheduling inquiries from patients in person, by phone, or electronically Coordinate referrals, prior authorizations, and medical record requests as needed Ensure appointment reminders are communicated according to practice procedures
Insurance & Billing Support:
Verify insurance eligibility and benefits prior to appointments. Inform patients of co-payments, deductibles, and financial policies. Assist with basic billing inquiries and escalate complex concerns to the supervisor or billing department.
Administrative & Office Support:
Answer and direct incoming phone calls, voicemails, and electronic messages to appropriate staff Maintain and update patient records within the Electronic Health Records (EHR) system Process faxes, emails, and document requests in accordance with office policies. Maintain a clean, organized, and welcoming front desk and waiting area
Compliance & Communication:
Maintain strict patient confidentiality in accordance with HIPAA regulations Follow practice protocols for infection control and patient safety Communicate effectively with clinical and administrative staff to support efficient patient flow ________________________________________ Performance Expectations & Accountability Medical Receptionists are expected to maintain high standards of accuracy, efficiency, and professionalism in all aspects of their work. Performance will be evaluated based on the following operational expectations:
Front Desk Accuracy:
Maintain accurate patient demographic and insurance information at every patient encounter. Ensure patient registration and documentation are completed correctly and consistently. Minimize registration errors that may lead to claim denials or billing delays. Maintain accurate documentation within the EHR system.
Financial Collections:
Consistently collect co-payments, outstanding balances, and other applicable patient financial responsibilities at the time of service. Follow established financial policies when discussing payments with patients. Ensure payments are processed accurately and documented appropriately.
Scheduling Accuracy:
Schedule appointments correctly according to provider templates and visit types Minimize scheduling errors that may disrupt provider workflow or patient care Assist in maintaining efficient provider schedules by reducing gaps, no-shows, and scheduling conflicts. Ensure follow-up appointments and patient instructions are communicated clearly. Patient Experience & Service Maintain a professional, respectful, and patient-centered approach in all interactions. Demonstrate strong problem-solving skills when assisting patients with administrative questions. Contribute to a positive and supportive team environment. ________________________________________
Education/Experience/Requirements:
High School Diploma or equivalent Have and maintain a
Valid Driver's License Reliable Transportation Skills & Competencies:
Excellent customer service skills with a patient first attitude. Strong verbal and written communication skills Proficiency in relevant computer hardware and software (EMR systems and other software). Strong organizational, multitasking, and time management abilities. Ability to work efficiently in a fast-paced medical office environment. Proficiency with computers, including Electronic Medical Records (EMR/EHR) systems and Microsoft Office. High level of professionalism and discretion when handling confidential information. Ability to follow written and verbal instructions accurately. Ability to work independently while also collaborating effectively with a team. Ability to build positive working relationships with patients and staff. ________________________________________
Physical & Work Environment Requirements:
Work is performed in a medical office setting with frequent patient interaction. Must be able to communicate clearly both verbally and in writing Basic understanding of medical terminology is required to relay appointment instructions and requirements to patients Prolonged periods of sitting, standing, and frequent computer use. May occasionally lift office supplies or assist with patient needs (up to 25lbs)
Preferred Qualifications:
1+ years of experience in a medical office or customer service setting Experience in a Medical practice is a plus Familiarity with Electronic Health Records (EHR) systems Familiarity with medical terminology and healthcare workflows
