Job Description

Job Summary We are seeking a dynamic and friendly Medical Spa Receptionist to join our vibrant team! In this role, you will be the welcoming face of our clinic, providing exceptional client service while managing front desk operations with efficiency and professionalism. Your energetic approach will help create a positive experience for every visitor, ensuring smooth scheduling, accurate documentation, and seamless communication between clients and staff. Responsibilities Greet clients warmly, verify appointment details, and assist with check-in and check-out procedures Schedule appointments using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth Manage multi-line phone systems with professional phone etiquette, answering inquiries promptly and directing calls appropriately Maintain organized medical records and ensure confidentiality in compliance with HIPAA regulations Assist with client intake processes, including collecting medical history and updating documentation review procedures Support medical billing and collection processes by processing payments and following up on outstanding balances Coordinate with medical staff to facilitate care plans, appointment reminders, and follow-up communications Handle administrative tasks such as filing, data entry, and managing office supplies to ensure a well-organized front desk environment Maintain a clean, organized front desk, reception area and office rooms Assist with retail product sales and recommendations Other tasks as needed/assigned Requirements Previous receptionist, front desk, or customer service experience (medical spa or healthcare setting preferred) Strong interpersonal and communication skills Professional demeanor and appearance Ability to multitask and stay organized in a busy environment Knowledge of skincare or aesthetic services is a bonus Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and clinic management software Exceptional customer service skills with the ability to handle multi-line phone systems professionally Bilingual abilities are a plus to serve diverse client populations effectively Strong organizational skills with attention to detail for documentation review and record keeping Ability to work efficiently in a fast-paced environment while maintaining a positive attitude Join us in delivering outstanding care support in a lively and supportive setting! Pay:
$13.00 - $14.00 per hour
