Job title Medical Receptionist/Billing I Reports to Director of Community Health Salary $16.00 - $18.50 per hour Status Full Time Mon-Fri 8am-5PM SAAF Mission The San Antonio AIDS Foundation seeks to reduce HIV transmission, provide support and treatment for those living with HIV, reduce stigma and support positive sexual health. SAAF provides sexual health education, STI and HIV testing and counseling, medical care, case management, housing and meal support, mental health services and referrals for dental health. Access to care and early intervention have a significant impact on the health and well-being of people living with HIV. Position The Medical Receptionist performs a variety of tasks to the agency in as much as it is the first contact via telephone by the prospective patient with the clinic. Essential duties include providing patient services via phone and in person; referring callers to the appropriate departments; making appointments for patients according to established clinic protocols; assisting patients/clients with forms. The position is considered a crucial link between the patient and the care delivered by clinical and service staff of the clinic. Patient services are the key priority in this position requiring the Medical Receptionist to serve as a point of contact with other internal and external departments, all with the goal of fostering an environment which promotes patient comfort and trust. The position must exemplify the core values and mission of SAAF, always exercising utmost discretion, diplomacy and tact in patient/staff interactions. Generates revenue by making payment arrangements; collecting accounts; monitoring and pursuing delinquent accounts. This position demands a high level of cultural competency of the unique needs of the LGBTQIA++ community, communities of color, and other marginalized populations. Duties and responsibilities Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones, supply ordering and data entry. Welcomes and greets patients/clients/visitors to the department in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person or department(s). Provides information to Clinic callers according to the Clinic's Policies and Procedures; transfers call as needed; works with central reception to ensure adequate phone coverage at all times. Reviews medical records for upcoming appointments, maintains security of medical records, and obtains clinical provider signatures as needed and requested for documentation and billing purposes. Utilizes electronic medical record system, eClinical for scheduling and uploading documents Helps patient sign in to kiosk, fill out paperwork. Also helps maintain patient flow for STIs. Send medical records to requesting providers and or disability offices. Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat. Adheres to all Clinic policies on safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality.
Billing Duties include:
Verifying patient insurance and/or Ryan White Eligibility when scheduling appointment and collects relevant payment information Obtain and verify prior authorizations if necessary Informs patient of any existing balance noted Submit all billing Information, EOBs, and Checks to The Firm. Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to Clinic policies and HIPAA requirements.
Requirements:
EDUCATION AND EXPERIENCE
High school diploma or equivalent plus minimum of six months of medical receptionist/medical record experience in comparable health care setting. Prior administrative or clerical experience in clinical or community-based setting required. Medical insurance verification experience preferred.
KNOWLEDGE, SKILLS AND ABILITIES
Legal Compliance, Quality Focus, Productivity, Time Management, Organization, Attention to Detail, Documentation Skills, Analyzing Information, General Math Skills, Resolving Conflict, Litigation Understands the importance of maintaining confidentiality; able to comply with HIPAA standards. Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of Clinic patients/clients/visitors in a manner that is efficient and productive. Must be highly flexible; able to accommodate changing needs of the department. Well-developed verbal and written communication skills in English. Fluent Spanish speaking preferred Knowledge of basic math and modern office procedures. Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks. Working conditions This role routinely uses standard medical and office equipment. The position may also require working with challenging clients and defusing client affairs as needed. Physical requirements While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; balance; stoop, kneel, and crouch or crawl. The employee must occasionally lift or move up to 50 pounds. SAAF works daily with clients who may be immunocompromised. While evidence of
COVID-19
vaccination is not required, employee may be asked to wear a mask while in the office.
