In this vital role, you will serve as the first point of contact for patients and visitors, managing appointment scheduling, patient check-in and check-out, and ensuring smooth clinic operations. Your energetic approach will help foster a welcoming environment while maintaining efficient administrative workflows. The ideal candidate is highly organized, proficient in medical administrative support, and possesses excellent communication skills to coordinate with clinical staff and patients seamlessly. This position offers an exciting opportunity to contribute to patient care excellence in a very fast-paced Sleep Medicine and DME setting. Duties Schedule patient appointments accurately using EMR (Electronic Medical Record) system (ECW) ensuring optimal clinic flow. Greet patients warmly upon arrival, verify insurance coverage through insurance verification processes, and collect necessary documentation for intake procedures. Manage multi-line phone systems with professionalism, providing clear information and directing calls efficiently. Maintain up-to-date medical records by reviewing documentation, ensuring compliance with HIPAA regulations and proper coding standards including
CPT, ICD-9, ICD-10
coding. Verifying insurance details related to Medicare or other payers. Handle office management tasks such as filing, data entry (including 10-key typing), and managing electronic health records (EHR systems) like eClinicalWorks. Support clinical staff by coordinating care plans, scheduling follow-up appointments, and reviewing medical documentation for accuracy. Maintain a clean and organized front desk area while adhering to office policies on confidentiality and patient service excellence. Preparing DME for patient use at home. Educate patients on proper use of equipment. Preparing Home Sleep Testing devices (HST) for patient use at home, training and education on proper use and requirement needed to obtain a good study. Experience Prior experience in a medical office environment or healthcare setting is required; Sleep Center, DME experience is highly preferred. Demonstrated proficiency with EMR/EHR systems such as eClinicalWorks is essential. Experience with Sleep and DME related software such as ( ResMed Airview, Parachute, Synergy and Care Orchestrator) is highly preferred Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and medical billing practices is necessary for accurate documentation review and billing support. Excellent computer skills including Microsoft Office Suite (Word, Excel) along with familiarity with multi-line phone systems and typing skills (10-key). Bilingual abilities are a plus but not required, to better serve diverse patient populations. Exceptional customer service skills with a focus on patient service and phone etiquette are critical for success in this role. Experience with insurance verification processes related to Medicare or private insurers will enhance your effectiveness in this position.
