Job Summary We are seeking a professional, personable, and detail-oriented Medical Receptionist to join our front desk team. This position is ideal for someone who takes pride in being organized, polite, dependable, and calm under pressure. The receptionist will help manage phone calls, email inquiries, patient scheduling, provider coordination, and front desk operations. This role requires excellent communication skills, strong attention to detail, and a genuine commitment to providing a warm and professional experience for every patient, family member, provider, and staff member. The ideal candidate will be a team player who understands that the front desk is central to the success of the practice. Primary Responsibilities The Medical Receptionist will be responsible for: Greeting patients, families, and visitors in a warm, professional, and respectful manner Answering phones with excellent etiquette, patience, and courtesy Responding to email inquiries clearly, promptly, and professionally Scheduling, rescheduling, and confirming patient appointments Working closely with providers to coordinate patient schedules Managing multiple provider calendars with accuracy and attention to detail Assisting patients with intake paperwork, appointment reminders, and general practice information Using TherapyNotes, our electronic medical record system, to manage scheduling and patient information Maintaining patient confidentiality and following HIPAA requirements at all times Supporting the front desk team with daily administrative tasks Communicating clearly with clinical and administrative staff to ensure smooth office operations Helping maintain a calm, organized, and welcoming front office environment Representing the practice professionally in all interactions with patients, families, providers, and outside contacts Qualifications Strong candidates will have: Prior experience in a medical, mental health, dental, or professional office setting preferred Excellent phone etiquette and written communication skills A polite, patient, and professional demeanor Strong attention to detail and accuracy Ability to multitask while remaining organized and composed Comfort working with scheduling systems, email, phones, and electronic records Ability to work well as part of a close-knit team Dependability, punctuality, and a strong sense of responsibility Respect for patient privacy and confidentiality Willingness to learn and receive feedback Familiarity with TherapyNotes or another EMR system is helpful but not required Bilingual skills are a plus, but not required Ideal Candidate The ideal candidate is someone who understands that small details matter.
