Job Description
Overview We are a highly respected, fast-paced surgical practice in Tysons Corner specializing in Facial Cosmetic Surgery and Oral & Maxillofacial Surgery. We are seeking an experienced, professional, and highly organized Front Desk & Insurance Coordinator to join our team. This role is critical to the success of our practice. The Front Desk & Insurance Coordinator serves as the first point of contact for patients and is responsible for managing scheduling, insurance verification, financial coordination, and maintaining efficient daily operations. The ideal candidate is dependable, detail-oriented, and able to multitask in a fast-paced surgical environment while delivering exceptional customer service. Experience in oral surgery or dental surgical specialty is strongly preferred.
Primary Responsibilities:
Patient Reception & Front Desk Operations Answer multiple phone lines professionally and efficiently; route calls appropriately Greet patients and visitors in a welcoming, professional manner Check patients in and out, ensuring accuracy of patient information Maintain a clean, organized, and professional reception area at all times Manage patient flow and coordinate with clinical staff and providers Scheduling & Patient Coordination Schedule and confirm appointments using the EMR system Coordinate consultations, procedures, follow-ups, and surgical appointments Review daily schedules to ensure accuracy and completeness Prepare charts and verify required documentation prior to appointments Confirm upcoming appointments and communicate preparation instructions Insurance Verification & Financial Coordination Verify insurance eligibility and benefits prior to appointments Obtain and track insurance authorizations as required Communicate insurance coverage and financial responsibility to patients Collect copays, balances, and payments at time of service Assist patients with understanding treatment plans and financial policies Maintain accurate documentation of insurance and billing information Administrative & Office Support Monitor and respond to emails, voicemails, and patient communications Maintain accurate and up-to-date patient records Coordinate communication between patients, providers, and staff Assist with administrative tasks and operational support Maintain confidentiality and HIPAA compliance at all timesQualifications & Requirements:
Required Experience & Skills Minimum 2 years of experience in a medical, dental, or oral surgery office preferred; prior office experience in a healthcare or dental setting is highly preferred, and experience as a medical or dental receptionist is advantageous Familiarity with insurance processes, eligibility verification, claims submission, and billing procedures is essential. Experience with insurance verification, scheduling, and patient coordination Experience handling multi-line phone systems and demonstrating excellent phone etiquette is required Excellent customer service and communication skills Strong organizational and multitasking abilities Ability to work efficiently in a fast-paced environment High attention to detail and accuracy Professional demeanor and appearance Reliable, punctual, and dependable Technical Skills Experience with EMR systems preferred ( DSN Software experience is a plus ) Proficient in Microsoft Office (Outlook, Word, Excel) Experience with insurance portals and eligibility verification systems Experience with phone systems and patient communication platforms preferred Experience with Weave communication software is a plus Additional Preferred Qualifications Experience in oral surgery or dental surgical specialty is strongly preferred. Knowledge of medical and dental terminology Experience discussing treatment plans and financial responsibility Spanish language skills are a plus (not required)Pay:
