As the ambassador at our front desk, you'll set the tone for every patient interaction—creating a warm welcome, coordinating appointment logistics, and ensuring administrative precision that supports the entire care team. You'll be the friendly voice on the phone, the reassuring smile in the lobby, and the detail oriented professional behind the screen, making each visit feel effortless. By blending exceptional people skills with attentive record keeping and proactive problem-solving, you'll streamline workflows, anticipate patient needs, and transform routine appointments into memorable experiences. Greet and assist patients during check-in and check-out, handling paperwork, insurance verification, and payments. Schedule follow-up, consultation, and procedure appointments accurately and efficiently. Triage incoming calls, emails, Klara texts, and social-media messages, escalating as needed. Enter patient data in Nextech accurately and keep records organized. Verify insurance eligibility and collect copays and balances, flagging issues for follow-up. Confirm next-day appointments by phone or text and manage unconfirmed slots. Process daily faxes and scans, distributing them to the appropriate team member. Keep the lobby neat and sanitary throughout the day, and report supply or equipment needs. Participate in quarterly process-improvement initiatives and share ideas with the team. Experience High school diploma or equivalent; additional office or medical-front-desk training a plus. 1-2 years of customer service or administrative experience (medical setting preferred). Strong oral and written communication skills and a friendly, professional demeanor. Proficiency with Nextech or similar EMR systems and MS Office. Exceptional attention to detail, organizational skills, and ability to multitask. Commitment to confidentiality and adherence to company and legal privacy standards.
