In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while efficiently managing appointment scheduling, patient intake, and insurance verification. You will coordinate dental treatments, assist with medical and dental administrative support, and ensure seamless communication between patients and the clinical team. Your proactive approach and organizational skills will help create a welcoming environment where patients feel valued and cared for from their initial call through their treatment journey. Responsibilities Greet patients warmly upon arrival, ensuring a positive first impression and smooth check-in process Manage multi-line phone systems with professionalism, providing clear information and scheduling appointments promptly Verify insurance coverage using systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth; handle insurance verifications accurately Collect patient information, review medical and dental histories, and update electronic health records (EHR systems) including eClinicalWorks or other EMR platforms Assist with appointment scheduling, rescheduling, and cancellations using dental office management software Explain treatment plans to patients clearly, answer questions about procedures or billing, and facilitate patient understanding of care options Perform administrative tasks such as filing medical records, processing payments, handling medical billing and coding (CPT, ICD-9/10), and managing documentation review in compliance with HIPAA regulations Support clinical staff by coordinating care plans, reviewing documentation for accuracy, and ensuring proper documentation review processes are followed Conduct insurance verification for Medicare or other providers to maximize benefits for patients Maintain a clean and organized front desk area while managing office supplies and filing systems efficiently Experience Prior experience working in a dental clinic or medical office environment is highly preferred Demonstrated proficiency with EMR/EHR systems such as Epic, Meditech, Dentrix, Eaglesoft, or Athenahealth Strong knowledge of dental terminology, medical coding (ICD-10/CPT), and insurance billing procedures including Medicare requirements Excellent computer skills with familiarity in Microsoft Office applications (Word, Excel) and typing accuracy (including 10-key typing) Exceptional customer service skills with the ability to communicate effectively in bilingual settings is a plus Proven experience managing multi-line phone systems and handling patient intake processes Knowledge of HIPAA compliance standards to ensure patient confidentiality and data security Office management experience including clerical support tasks like filing, data entry, and document organization Join our team to make a meaningful difference in patients' lives by providing outstanding front desk support combined with comprehensive treatment coordination.
