Job Description

We are looking for a Clinical Assistant who wants to be a part of a team where connections with patients, families, and colleagues are central to the work; where every person is truly seen; and where care honors the full dignity of each individual. The ideal candidate for this position thrives in a fast-paced environment, is excited to be part of a growing practice, and has some knowledge of or experience in the clinical side of mental health. They would be extremely organized and tech-savvy, be great at juggling priorities, excel at anticipating needs, and can effortlessly represent the company in a sound and thoughtful manner . They are potentially interested in becoming a mental health clinician themselves and are looking for opportunities that would prepare them for a clinical career in the field. The Clinical Assistant is responsible for assisting psychiatric nurse practitioners and other clinicians at our practice with tasks that are critical to their patients' wellbeing and experience at our practice. This role sits at the intersection of clinical and administrative work. The Clinical Assistant is the go-to person for our clinicians regarding clinical tasks day-to-day. Through the administrative experience that this role provides, they will develop a deep understanding of how their role as a Clinical Assistant facilitates and deepens each patient's experience. They will also gain a foundational base of clinical knowledge through the mentorship that is provided in this role.
Established Duties:
Act as the main point person for clinical tasks Report directly to the Director of Clinical Services and Director of Operations Take care of in-person responsibilities at the office, including general office upkeep; helping patients access medication samples; going through mail for clinical requests; liaising with visitors at the office seeking more information; and more Manage clinicians' direct phone lines, particularly with calling and texting patients Schedule appointments with patients Manage clinicians' calendars and room assignments for efficient and effective scheduling Support patients in navigating communication between insurance companies and pharmacies Initiate and set up outside documentation requested by patients and clinicians with enough existing clinical knowledge to fully complete a draft Handle and follow-up on prior authorizations Create and write clinical content for monthly newsletter, blog posts, or website Assist with other tasks as assigned by clinicians, such as calling pharmacies, setting up care coordination calls, researching needed information, speaking with potential referral sources, and more
Qualifications:
Recently graduated with a Bachelor's degree with ideally at least 6 months-1 year of experience in an office/administrative setting. This position is ideal for someone who's planning to pursue further training in healthcare or a clinical field and wants meaningful experience before that next step. Some clinical knowledge
  • we will train you, but familiarity with clinical terms and general processes in the field is needed Works efficiently generally but also actively seeks out ways/strategies to improve processes and workflows Outstanding communication skills across multiple platforms/methods and particularly with the ability to follow up and continuously keep relevant parties updated and informed on the status of a request Strong writing skills•does not need to have a formal background/training in writing, but is able to confidently compose written reports that integrates both medical records and direct communication with clinicians in a way that provides sound clinical advocacy for our patients' needs Able to respond to a variety of situations with a calm and collected manner Capable of working closely with the team and autonomously Superb organizational skills with strong attention to detail Tech savvy in navigating and independently troubleshooting multiple software programs Analytical and insightful with the ability to parse complex records, synthesize relevant information from multiple sources, and tailor content for specific clinical indications Reliable and self-directed with the ability to initiate, execute, and follow through on tasks end-to-end, while taking pride in and responsibility for outcomes This position will be a 2-year contract at 40 hours/week (in-person Monday-Friday at our office in the Flatiron District of Manhattan) with benefits and an annual salary of $60,000•65,000 (commensurate with experience).
