Persad Center has been providing life-changing services to LGBTQA+ individuals, families, and people living with
HIV/AIDS
since 1972. As the second-oldest LGBTQ+ mental health organization in the U.S., we offer a diverse range of mental health, behavioral health, substance abuse support, education, and family services. ____________________________________________________________________ Clinical Administrative Assistant The Clinical Administrative Assistant (Medical Assistant) provides administrative, intake, client access, and clinical support services for Persad Center. The Clinical Administrative Assistant functions as a liaison between clients, providers, and operational teams, supporting intake and referral processes, scheduling, insurance verification, prior authorizations, medication-related workflows, front-office operations, and electronic health record management. This position will be cross-trained in front desk functions and provide coverage and operational support as needed. The ideal candidate will possess Medical Assistant training, certification, or comparable clinical experience, strong knowledge of healthcare operations and medical terminology, excellent communication and organizational skills, and the ability to manage multiple priorities in a fast-paced healthcare environment. The successful candidate will demonstrate sound judgment, professionalism, cultural sensitivity, strong customer service skills, and the ability to work effectively with individuals from diverse backgrounds, including LGBTQ+ communities. This position may also provide clinical support within the Medical Assistant scope of practice, including obtaining vital signs, specimen collection, phlebotomy, testing, medication support activities, and assisting psychiatric and future primary care services as programs expand. The Clinical Administrative Assistant must be able to work independently, maintain strict confidentiality, and exercise discretion when handling sensitive client and organizational information. Violation of HIPAA regulations or confidentiality requirements may result in disciplinary action up to and including termination.
ESSENTIAL DUTIES & RESPONSIBILITIES ADMINISTRATIVE SUPPORT
Completes a broad variety of administrative tasks for billing, EHR, the Clinical Staff including managing Doctors/therapists calendar of appointments, composing, and preparing correspondence that is sometimes confidential Plans, coordinates, and ensures the Agency's administrative tasks are completed Works closely and effectively with the Clinical & Administrative Staff to keep them well-informed of upcoming commitments and responsibilities, following up appropriately Assists & Supports Clinical Staff in management of the EHR system Runs reports as needed for Management team Conduct insurance verifications and ensure that they are current Work with management to complete prior authorizations and medication refills. Work with Clinical Director on Quality Assurance so that quality of client care meets required standards Agency Point of Contact Tending to front desk including greeting clients, answering phone calls and taking payments Training new Admin staff on all EHR systems Supporting Outreach and events as needed Serves as backup to the Intake team
QUALIFICATIONS
Bachelor's degree or 4 years' equivalent administrative experience required. Minimum 2 years' experience in the medical field preferred. Excellent typing/word processing at a minimum of 70 wpm Familiarity with Medical Terminology and using an EHR system Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) Appropriate FBI, PA Act 33/34 fingerprint clearances.
Specialized Skills/Abilities/Knowledge:
Clinical experience as a Medical Assistant or Phlebotomist, preferred. Knowledge and experience with medications, including handling prior authorizations. Ability to uphold confidentiality in accordance with HIPAA standards. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors Expert level written and verbal communication skills Demonstrated proactive approaches to problem-solving with strong decision-making capability Highly resourceful team-player, with the ability to also be extremely effective independently Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response Demonstrate ability to achieve high performance goals and meet deadlines in a fast-paced environment Forward looking thinker, who actively seeks opportunities and proposes solutions
COMPENSATION
$20-$22/hr determined by experience and qualifications.
