Full Job Description Essential Functions:
The Senior Administrative Assistant serves as a strategic administrative partner to Executive Management, supporting daily operations, organizational coordination, and executive initiatives across the agency. This role is responsible for providing high-level administrative and operational support through workflow coordination, reporting management, project tracking, and follow-through on organizational priorities. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple responsibilities within a fast-paced and collaborative environment while maintaining professionalism, discretion, and operational efficiency. Job Responsibilities:
Provide direct administrative and operational support for Executive Management and leadership initiatives. Support workflow coordination and task follow-up to ensure accountability, timely completion, and alignment with organizational priorities. Participate in leadership and operational meetings, including preparing agendas, documenting meeting minutes, identifying action items, and facilitating follow-through on assigned tasks. Assist with special projects, organizational initiatives, and operational improvement efforts across departments. Provide project management support through task tracking, status monitoring, coordination of deliverables, and communication of project timelines. Support weekly and monthly reporting cadences by maintaining reports, dashboards, trackers, and operational summaries for leadership review. Assist with strategic planning support for operational initiatives, transition planning, and organizational growth efforts. Maintain inventory and asset tracking records for company-owned devices and equipment, including onboarding, reassignment, and collection processes. Coordinate administrative support related to audits, compliance reviews, operational documentation, and internal process monitoring. Collaborate with Executive Leadership, Operations, IT, and other departments to support organizational communication and continuity. Maintain organized records, documentation, and confidential information with a high level of professionalism and accuracy. Perform additional administrative, operational, and project-based duties as assigned in support of agency goals and executive priorities. Minimum Qualifications:
A minimum of 3 years of experience in an office administration, office assistant, or similar role. Strong written and verbal communication skills, with the ability to build effective relationships. Familiarity with office management procedures and best practices. Excellent organizational and multitasking abilities with keen attention to detail. Proficient in Microsoft Office and Google Workspace. Ability to handle confidential and sensitive information with discretion. Positive, proactive attitude with a collaborative approach to teamwork. Associate's Degree or equivalent experience. Travel Requirement:
Reliable transportation is required to support all operating locations across Maryland, including Baltimore City, Frederick County, PG County, and Washington County. Travel between sites may be necessary.
