Job Description

Administrative Assistant to the School Nurse (Anticipated) Sanford Middle School Sanford Middle School is seeking a highly organized, detail-oriented, and student-centered individual to serve as the Administrative Assistant to the School Nurse . This position provides administrative and operational support to the school health office, helping ensure the health, safety, and well-being of students while maintaining compliance with school, district, and state requirements. Primary Responsibilities Prepare the health office for daily operations, including organizing medication administration supplies and ensuring health office materials are stocked and readily available. Monitor medication inventory and communicate with families regarding medication refills and required documentation. Check and manage incoming faxes, messages, and health office correspondence. Answer telephone calls and document communications appropriately. Welcome students and staff to the health office and assist with triage when appropriate. Enter student visits and related information into Infinite Campus. Maintain student records and file health-related documentation. Ensure students have appropriate passes when visiting the health office. Maintain a clean, organized, and sanitary health office environment, including disinfecting treatment areas and common surfaces throughout the day. Assist with medication administration procedures in accordance with district policies and state regulations. Coordinate medication drop-offs with families, ensuring medications are properly counted, documented, and stored. Monitor student medication schedules and assist in reminding students to report for scheduled medications. Fax medication authorizations and other required paperwork to healthcare providers. Provide first aid assistance within the scope of training and district guidelines. Obtain approval from the School Nurse prior to administering over-the-counter medications. Assist with immunization compliance monitoring and reporting. Maintain and organize Annual Health Records (AHRs). Verify student health conditions, required documentation, and medication plans. Update student health information in Infinite Campus as needed. Assist with vision and hearing screenings. Coordinate student participation in dental, vaccination, and other health-related clinics. Receive, organize, and store health office supplies and orders. Maintain inventory of medical and office supplies. Monitor stock levels for student-accessible health and hygiene supplies. Coordinate the transfer of student health records between schools. Assist with the collection and return of student medications to families. Prepare and transfer required health documentation for transitioning students. Review immunization requirements for incoming students and communicate compliance needs. Strong organizational, communication, and customer service skills. Ability to maintain confidentiality and handle sensitive student information. Proficiency with computers and data entry systems; experience with Infinite Campus preferred. Ability to work effectively with students, families, school staff, and healthcare providers. Current First Aid and CPR certification preferred or willingness to obtain. Experience in a medical, health office, school, or administrative setting preferred. Compassionate and student-focused.
