Full Job Description Executive Director Job Description Purpose:
The Executive Director is responsible for the overall leadership, culture and organization of the community. This responsibility includes the management of staff, budgets, services, marketing efforts and regulatory compliance. The Executive Director ensures that policies and procedures established by Blake Management are implemented and maintained consistently. The Executive Director is responsible for all day to day operations. All department directors report directly to the Executive Director. The Executive Director must meet all requirements as set forth in the regulations of the State of operations.
Scope & Status:
Exempt Status/Salary The Executive Director reports directly to the Regional Director.
Relationships:
Supervision of staff and coordination with individuals includes a. Key management staff, department leaders and direct care staff b. Consultants and/or Vendors c. Physicians, Nurses and Health Care Providers d. Residents, family members, support groups and referral sources e. Federal, County, State and City officials
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, have excellent communication and language skills to enable them to perform their duties and interact effectively with residents and community personnel. Employee must meet all specific state and federal regulations for assuming the position of an administrator at an assisted living facility. In addition, the individual must have adequate experience in business management, health care and human resources. An on-going formal management training program is required. The requirements listed below are representative of the knowledge, skill and/or ability required. The Executive Director models the core values, mission and vision Blake Management. The following training and certifications are required: Bachelor's Degree and at least 2 years of experience in a supervisory role in healthcare or related industry, preferably in a geriatric position. The Executive Director must be at least 21 years of age and have the responsibility and authority to carry out the policies.
Areas of Responsibility:
Planning A. Assists the Regional Director and/or COO in the development of annual budgets. b. Assists in the development and implementation of annual marketing plan. c. Coordinates long-term capital expenditures. d. Practices excellent time management skills and completes tasks within company time frames. Organizational a. Provides organizational structure and ensures effective and efficient daily operations. b. Has delegated authority to the appropriate department director in the absence of the Executive Director. Documentation of delegation shall include a listing of the lines of authority by position title, including the names of the persons filling the relevant positions. Staffing a. Hires, trains, supervises, evaluates and ensures fair treatment to all staff. Ensures initial hiring procedures are followed, documented and maintained in human resources. Reports any and all employee incidents and/or issues that may or may not require legal intervention. Ensures that all employees provide signature certifying that payroll hours are accurate and as worked. B. Is available for emergencies as they arise and ensures on-call 24/7 staff and nurse coverage for the community. Reports all urgent/emergency situations to the COO the same day of occurrence. c. Ensures staffing levels meet state regulations and are appropriate to meet the needs of the residents and that labor hours are within budget. Direction a. Assists community personnel to develop and maintain training and service improvement programs that meet established community policies and goals as designated by Blake Management and state regulations. b. Ensures physical facilities are maintained and remain attractive. Ensures cleaning and preventative maintenance schedules and logs are implemented and maintained. c. Develops and maintains community fire and disaster plans and conducts fire safety and elopement drills according to company policy and local regulations. d. Maintains current consultant relationships and service contracts as required. Controlling a. Recommends to the Regional Director and/or COO matters and issues requiring policy decisions and/or changes. b. Maintains records, incident reports, funds, statistics, licenses and inspection reports. Ensures that confidential information and valuables are locked and in a secure location. Maintains appropriate key & lock controls. c. Manages fiscal activity and supports marketing programs to achieve budgetary and occupancy goals. Ensures departmental key expense worksheets are completed according to company policy. d. Supervises and provides authorization of purchasing of department supplies and equipment. e. Participates and leads in committees and meetings relating to management, fire/safety, marketing, resident concerns, resident care and strategic planning. Leadership a. Assumes overall leadership and administrative responsibilities for the community. Provides performance improvement counseling and training as required. b. Delegates responsibilities in accordance with short-term and long-term objectives. c. Responsible for establishing and maintaining the professional image of the community. Assures that community reputation is maintained for service delivery in a warm and friendly environment. Responsibility of completing community rounds and ensures facility maintenance compliance. d. Establishes and maintains working relationships with key community leaders who have a working interest with housing, services and health care for the older adult population. e. Develops positive working relationships with supervisors, staff, residents, resident representatives and volunteers. f. Actively advocates for superior care and promotes service excellence. Ensures all ancillary services meet the needs of the residents, including activities, dining services and wellness programs. g. Ensures leadership meeting occurs daily according to company policy. Maintains written minutes via the company approved form for daily leadership meetings. 7. Marketing Support a. Ensures occupancy goals are achieved. Plans and implements innovative marketing strategies. b. Ensures all staff are trained in greeting guests and participating during tours. Ensures phone etiquette policy and procedures are maintained. c. Models professionalism, compassion and courtesy at all times. d. Ensures that model rooms are available and ready for viewing at all times during the lease-up phase and/or when community is below 90 percent occupancy. e. Utilizes community marketing software program effectively to monitor occupancy, admissions, discharges and rental roster. Ensures weekly occupancy and activity reports and completed and distributed to the appropriate individuals. f. Supports and participates in team marketing. Accompanies the marketing director on external visits to key referral sources at least once a month. Provides constructive training on how to improve presentation. g. Assists marketing director in planning quarterly events and the annual open house. Maintains a working calendar of marketing efforts for COO review. h. Assures prompt assessments of new potential residents with wellness department. i. Assures minimum turnaround time for vacated apartments and verify its readiness prior to move-in. j. Ensure positive interaction occurs with prospects and referral sources. k. Assures that all components of the community service delivery program are accomplished with sufficient quality to create a competitive edge for community marketing programs. l. Coordinates community wide services to assure optimal support of marketing efforts for successful occupancy achievement. 8. Wellness/ Memory Care Department Support Ensures that both departments are in compliance with federal and state regulations for assisted living. b. Ensures that staff are accomplishing duties observing all appropriate safety practices and policies. Models professionalism and compassion for other team members and guests. c. Delegates authority and tasks to qualified staff according to state law and regulations. d. Ensures that changes in a resident's condition are reported promptly to VP of Wellness and communicated appropriately to the family and physician according to company policy and procedures. e. Ensures that both departments are reviewing lab results, documenting resident care and monitoring resident health status. Ensures that current medical information is promptly communicated to other team members. Ensures that all wellness employees are actively and effectively participating in shift change meetings, case conferences and care updates. g. Ensures that nursing staff is utilizing progress notes and communication forms effectively and in a timely manner. j. Ensures that nursing staff obtains and documents resident weight according to the service plan, state regulations and physician orders. m. Participates in consultations with the VP of Wellness and/the Director of Wellness to determine whether specific treatments require the use of external resources, such as home health care, outpatient rehabilitation, hospice, DME or if discharge to an institution providing a higher level of care is necessary. n. Observes for any signs of resident abuse, neglect or exploitation. Reports and responds to any suspected, alleged and/or actual abuse according to company policy and state regulations. o. Reports, documents and responds to incidents and urgent situations according to company policy. Implements corrective action immediately to promote resident safety and wellness. p. Provides follow-up, intervention and supervision for residents who have had a recent change in condition. Communicates effectively and documents all actions taken. q. Promotes resident safety and implements fall prevention programs. r. Promotes residents participating in memory enhancement and performance improvement programs. t. Implements duties necessary to maintain a clean environment that promotes well-being. u. Ensures that an effective and efficient tracking systems is being used for physicians' orders and service delivery; including but not limited to: scheduling and tracking mechanisms for labs for medication monitoring according to physician's orders and best practice (anti-coagulants; neuro; cardiac; etc.), activities of daily living (hygiene/grooming; incontinence; supervisory); assessments and evaluations; therapies; reorder of medications; med cart reviews; ancillary health care services. v. Ensures that an efficient and organized filing system is being used. 9. Regulation & Policy Compliance a. Ensures that Blake Management policies and procedures are followed. Utilizes Performance Improvement Counseling and Human Resources forms, Monthly Safety Committee meeting, training programs, monthly all-staff meetings and quality assurance forms to address deficiencies, improve service delivery and enhance safety. b. Maintains Federal, State, County and City regulations. c. Reports any and all Federal, State, County and City inspections, correspondence and/or inquiries to the COO, RDO, and VIP of Wellness on the same day of receipt and/or occurrence. Thoroughly, objectively and professionally documents relevant information with an accurate timeline. d. Maintains a risk management file on any and all situations that may require legal intervention, litigation and/or state inspections. Thoroughly, objectively and professionally documents relevant information with an accurate timeline. Obtains witness statements as needed utilizing the company approved form. Utilizes "Employee Notes" to document specific information related to individual employees. e. Responds to state requests for information within the state required time frames. Immediately notifies administrator regarding any federal, state or local agency request(s) for information.
