Job Description

Overview We are seeking a dynamic and highly organized Surgery Coordinator/ Ophthalmic Technician to join our team. This dual-role position supports our physicians across a full spectrum of ophthalmic subspecialties, including cataract and refractive surgery, retina, and glaucoma. You will serve as the primary point of contact for surgical scheduling while also providing hands-on clinical support in our clinic. This position offers an exciting opportunity to contribute to high-quality surgical care while utilizing your strong administrative and medical knowledge skills. Duties Coordinate surgical schedules by managing appointments, operating room bookings, and pre-operative preparations using EMR (Electronic Medical Record) systems such as Nextech. Verify insurance coverage and perform insurance verification procedures to ensure smooth billing processes. Review patient medical records and documentation for accuracy, completeness, and compliance with HIPAA regulations. Assist with patient intake processes, including collecting medical history, explaining pre- and post-operative instructions, and answering patient inquiries with excellent phone etiquette. Prepare and review care plans, surgical consents, CPT (Current Procedural Terminology) coding, ICD-10/ICD-9 coding for procedures and diagnoses to ensure proper billing and documentation. Maintain accurate medical records by filing documents correctly in EHR (Electronic Health Record) systems like Nextech. Provide exceptional front desk support by managing multi-line phone systems, scheduling appointments, and handling patient check-ins with professionalism. Collaborate with clinical staff to ensure all necessary supplies are prepared for surgeries and assist in coordinating post-operative follow-up appointments. Coordinate and schedule surgical procedures including cataract, refractive, retina, and glaucoma surgeries across affiliated surgery centers and hospitals Obtain prior authorizations, verify insurance benefits, and communicate financial estimates to patients Prepare and submit surgical pre-certifications and required clinical documentation Serve as the patient liaison throughout the surgical process — from initial consultation through post-operative follow-up Perform ophthalmic diagnostic testing including visual acuity, tonometry, visual fields, OCT, fundus photography, topography, and biometry (IOL Master/Lenstar) Assist physicians with dilated fundus exams, minor procedures, and pre/post-operative evaluations Accurately document patient history, chief complaints, medications, and diagnostic results in the EHR Maintain effective communication with surgery centers, ASCs, hospitals, and referring providers Educate patients on surgical procedures, pre-op/post-op instructions, and premium IOL and refractive options Experience Proven experience in a medical office setting with a focus on surgical or clinical coordination. Familiarity with medical coding including CPT codes and
ICD-10/ICD-9
coding standards required for accurate billing and documentation review. Experience with insurance verification processes for Medicare and private insurers. Excellent understanding of HIPAA regulations related to health information management and patient confidentiality. Prior clinic or dental office experience is highly desirable to understand the nuances of healthcare operations. Demonstrated proficiency in computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and managing electronic health records efficiently. Exceptional customer service skills combined with strong organizational abilities to manage multiple priorities seamlessly in a fast-paced environment.
