Admin Optometric Technician Department:
Optometry | Main Clinic Join The Ohio State University College of Optometry and become part of a team dedicated to providing exceptional patient care, advancing vision health, and supporting the education of future optometrists. As an Administrative Optometric Technician, you will play a vital role in creating a positive patient experience while supporting the daily operations of our nationally recognized clinical services. The Admin Optometric Technician plays a critical role in clinic operations and financial management, supporting both patient flow and administrative compliance across the College of Optometry's clinical services. 1. Patient Encounters & Access Triage phone, in-person patient encounters, and patient secure-messaging detailing visual and ocular complaints, and ocular emergencies. The Coordinator will make independent decisions regarding scheduling appointments in the appropriate clinic service to maintain full clinic schedules. Provide comprehensive patient services, including assisting with patient arrivals, appointment check-in and check-out, and interfacing with phone call management software. Understands and explains eye examination procedures and fees to patients, answers patient prescription-related questions, and answers patient questions based on medical record information. Responds to spectacle, contact lens, and medication/medication refill requests in person, over the phone, and through the online portal from patients and attending optometrists. 2. Revenue Cycle Management Responsible for arranging and verifying insurance coverage, prior authorizations, and vouchers. Provide patient check-out services by re-verifying insurance, processing patient billing and coding for accurate optometric procedures and diagnostic codes, and collecting exam fees and co-pays. Post payments for services and materials, determine patient and insurance responsible balances, and accurately enter adjustments, refunds, and discounts in the Compulink software. 3. Supply Coordination Process incoming optometry student and patient supply and trial contact lens orders. Interface with laboratories for stock and specialty orders to track fulfillment, warranty, exchange, returns, and credits. Provide supply invoice documentation to the accountant for payment processing. 4. Medical Records & Compliance Understand HIPAA policy and present HIPAA information to patients. Understand HIPAA and ensure data entry of confidential patient information. Support Medical Records Department daily operations in accordance with state/federal regulations and college/university procedures governing medical records handling. Prepare and review medical records and prescriptions for completeness and accuracy, scan documents/images into the Electronic Health Record (EHR), and conduct quality reviews. Performs Release of Information duties in a secure and confidential manner. Communicates with other medical providers regarding patient care and referrals; delivers and retrieves records. Provides copies of receipts and prescriptions (Rx's) to patients and obtains Rx acknowledgements from patients. 5. Administrative and Operational Support Responsible for maintaining the consult room and front office space to ensure all spaces are appropriately stocked, organized, clean, and up to date. May perform these duties in other departments such as, Medical Records, Vision Rehabilitation, Contact Lens, Binocular Vision/Pediatrics, Vision Therapy, Advanced Ocular Care, and Eyewear Gallery. Performs other Administrative duties as needed.
Minimum Class Requirements Per CCS Class Specs:
High School Diploma or GED Desired Experience:
One year of experience in an optometric or health care setting is desired PC Knowledge and interpersonal, verbal, and written communication. Graduate of a two- year optometric technician program, optician, or apprentice optician Knowledge of practice management software Understanding of medical and administrative procedures.

Pay Rate:
$15.15- $19.79 Salary offer will be determined from candidate education, experience, internal equity, and budget.
