In this multifaceted position, you will be the friendly face and efficient coordinator that ensures our patients receive top-tier service from their first contact to billing completion. Your expertise in medical billing, insurance verification, and electronic health record systems will help streamline clinic operations and enhance patient satisfaction. This is an exciting opportunity for a motivated professional eager to make a positive impact in a fast-paced optometry practice. Responsibilities Greet patients warmly upon arrival, manage check-in/check-out procedures, and ensure accurate data entry into EMR (Electronic Medical Records) systems such as Revolution EHR, Weave and Square. Verify insurance coverage, perform insurance eligibility checks, and handle insurance claims processing using medical billing software and CPT (Current Procedural Terminology) coding standards. Schedule patient appointments efficiently using medical office management software while maintaining a well-organized front desk environment. Review and update patient records, ensuring compliance with HIPAA regulations and maintaining confidentiality of sensitive health information. Collect payments, process co-pays, and manage billing inquiries with professionalism and clarity. Assist with documentation review, coding accuracy (ICD-9/10, CPT), and ensure proper documentation of care plans for billing and medical records purposes. Provide excellent customer service by addressing patient questions regarding appointments, billing issues, or insurance coverage via phone or in person with courteous phone etiquette and effective communication skills. Submitting electronic claims to medical insurance daily, troubleshooting claim denials, working accounts receivable lists, sending patient statements, applying payments from insurance and patients. Recredentialing providers as needed and keeping attestation status up to date for providers as needed. Requirements Proven experience in medical office administration or as a medical receptionist within a clinic or optometry setting. Strong knowledge of EMR/EHR systems such as Revolution EHR, Eyefinity etc. Demonstrated ability to perform insurance verification, claims submission, and follow-up. Proficiency in medical coding including ICD (International Classification of Diseases) codes (ICD-9/10), CPT coding, and Medicare/Medicaid billing procedures. Excellent organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment. Strong computer skills including Microsoft Office Suite (Word, Excel), data entry (10-key typing), and familiarity with multi-line phone systems. Knowledge of HIPAA regulations and health information management practices to ensure compliance and confidentiality. Exceptional customer service skills paired with professional phone etiquette and clear communication abilities.
